About the Role
The Conference Coordinator plays a central role in helping ATD’s conference portfolio run smoothly. Working across multiple events and functional areas, this position coordinates recurring processes, maintains accurate information and resources, supports speakers, attendees, exhibitors and sponsors, and helps ensure important details move forward on time.
This is a highly collaborative role for someone who enjoys variety, organization, problem-solving, and being at the center of a busy conference team. The Coordinator works across the full conference portfolio, gaining exposure to conference programming, attendee experience, event operations, technology, and exhibitor and sponsor programs.

What You’ll Do
Provide coordination and administrative support across ATD’s portfolio of conferences and events.
Serve as a first point of contact for routine speaker, attendee, exhibitor, and sponsor questions, providing helpful information and connecting customers with the appropriate team member when needed.
Support speaker and program administration, including task tracking, communications, submission follow-up, session data, evaluations, surveys, certificates, and related recurring processes.
Support exhibitor and sponsor administration, including communications, portal activities, deadline follow-up, data collection, lead-retrieval communications, and other established processes.
Support attendee experience and registration activities, including attendee communications, first-time attendee resources, registration administration, and peak-period needs.
Coordinate administrative elements of attendee experience programs, including research, vendor outreach, information collection, participant coordination, deadlines, documentation, and tracking.
Maintain conference trackers, schedules, contact lists, inventories, documentation, templates, FAQs, and shared resources.
Submit and track Editorial and Creative requests, contracts, and other established internal departmental workflows, helping ensure required information is complete and deadlines stay on track.
Support event operations through signage tracking, staffing documentation, resource coordination, information collection, and other established processes.
Help identify recurring questions, process gaps, and opportunities to make conference work more efficient and consistent.
Provide flexible support across conferences and projects as priorities and workloads change.
Who You’ll Work With
You’ll work closely with colleagues across Conference Programming, Attendee Experience & Registration, Conference Operations, Conference Experience & Technology, Exhibits & Sponsorships, Marketing, Editorial, Creative, and other teams across ATD. You’ll also interact with speakers, attendees, exhibitors, sponsors, vendors, and other conference partners.

2 - 3 years experience in conferences, events, associations, customer service, project coordination, or administrative coordination.

This role is based in Alexandria, VA and follows a hybrid work model, offering a mix of in-office collaboration and flexibility.
