The PROX team within Global People Services & Solutions (GPSS) is a centralized, digital-first capability that advances innovation across People Operations. Its focus is AI, productivity, and employee experience, enabled by clean, accurate, and structured data.
The Senior Specialist is a hands-on individual contributor who strengthens the technical execution of GPSS 3.0. Working with the Director, PROX Lead and Principal Specialist, the role brings deep technical-functional expertise in workflow design, automation readiness, testing, and solution enablement.
The role connects HR process expertise, project delivery, and technical solutioning. It converts business pain points and redesigned processes into clear, build-ready packages for IT, Workforce AI, ServiceNow, Workday, Power Platform, UiPath, data, and other platform teams.
The role helps move the highest-priority PROX and GPSS automation initiatives from concept to adoption, with clear scope, controls, ownership, testing, deployment readiness, and measurable business value.
# Role Purpose
This role strengthens PROX's technical delivery capacity through hands-on workflow design, automation assessment, business analysis, AI-ready process documentation, data mapping, UAT, and solution handoff. It ensures GPSS provides complete, buildable requirements so solution teams can deliver faster with less rework, while IT and platform teams retain technical ownership.
# Key Responsibilities
Technical-Functional Automation Design
- Convert GPSS challenges into simplified, automation-ready workflows, requirements, rules, triggers, controls, and exceptions.
- Recommend process simplification, ServiceNow, Workday, Power Automate, UiPath, Copilot Studio, Power BI, or a hybrid approach.
- Design end-to-end workflows i.e. define how tasks, data, approvals, notifications, and system handoffs operate across platforms.
- Validate feasibility by confirming integration, security, delivery, and support needs with relevant teams.
AI-Ready Process and Solutioning
- Create AI-ready process guides to define intents, utterances, decision logic, data, knowledge, escalation rules, human review points, controls, and test scenarios.
- Prepare build-ready handoffs including converting process maps and SOPs into user stories, acceptance criteria, business rules, test cases, and solution packs.
- Set AI guardrails to address privacy, policy interpretation, payroll risk, audit exposure, sensitive data, and high-impact exceptions.
- Standardise reusable assets such as maintaining AI-ready knowledge, templates, integration checklists, UAT packs, benefit trackers, and readiness reviews.
Delivery Excellence
- Provide technical functional support across priority recruit-to-retire processes, from recruitment and onboarding to staff movements and offboarding.
- Improve requirements clarity, pilot readiness, UAT, and benefit realization for Wave 1 initiatives.
- Identify technical complexity, data gaps, compliance needs, system dependencies, and integration risks early.
- Track decisions, dependencies, blockers, ownership, testing, sustainment, and benefits through delivery.
Workflow, Data Readiness
- Specify data fields, source systems, owners, validation rules, triggers, handoffs, reporting needs, and exceptions.
- Design event-driven flows e.g. Map workflows triggered by hire, status, approval, location, leave, movement, termination, or document events.
- Identify API, file, RPA, orchestration, access, and vendor portal dependencies.
- Define standards for reliability, data accuracy, auditability, exception handling, reporting, and operational handover.
Technical UAT, Pilot and Deployment Support
- Develop UAT scripts, edge cases, test data, defect logs, readiness checklists, and hypercare trackers.
- Confirm performance against requirements, SLAs, data standards, controls, and employee experience objectives.
- Coordinate pilot input and translate it into fixes, enhancements, or process changes.
- Support go-live and sustainment by enabling stabilisation, operational handover, support ownership, success tracking, and post-implementation improvement.
Stakeholder Partnership and Technical Facilitation
- Lead project teams and manage PO, GPSS, IT, platform, vendor, data, and compliance stakeholders, positioning PROX as the enablement bridge for GPSS priorities.
- Lead discovery and design sessions, document outcomes, and escalate blockers early.
- Prepare concise recommendations, decision papers, and readiness updates for leadership.
- Coach team members on automation documentation, AI-ready design, UAT, handoff quality, and follow-through.

# Skills and Experience
- Bachelor’s degree in Human Resources, Business, Operations, Technology, Analytics, Information Systems, or related discipline.
- Typically over 15 years of global or regional experience supporting HR services, transformation, or technology-enabled process improvement across multiple countries, sites, or stakeholder groups, with proven stakeholder management skills and experience leading project teams or cross-functional initiatives through hands-on solution delivery.
- Strong knowledge of hire-to-retire processes and practical experience with Workday, ServiceNow HRSD, M365, SharePoint, Teams, or comparable enterprise platforms.
- Hands-on ability to design, configure, test, and support Power Automate cloud and desktop flows, UiPath RPA, forms, approvals, triggers, exception handling, and process or task mining.
- Ability to design Copilot Studio, UiPath, or similar agents by defining goals, instructions, prompts, knowledge sources, tools, actions, orchestration, context, escalation paths, and human approval points.
- Experience grounding and evaluating agent responses, testing edge cases, managing permissions and sensitive data, and applying responsible AI, audit, monitoring, and deterministic controls for high-risk actions.
- Working knowledge of APIs, connectors, webhooks, service accounts, authentication, Dataverse, structured lists, source-to-target mapping, validation rules, and audit trails.
- Proven ability to produce workflow designs, user stories, acceptance criteria, technical-functional specifications, UAT packs, defect logs, deployment checklists, and support handoffs.
- Ability to use Power BI, SQL, or equivalent tools to assess process performance, automation value, adoption, defects, and benefits.
- Strong facilitation skills across HR, IT, AI, automation, data, security, compliance, and vendor teams.
- Able to lead and manage concurrent initiatives, resolve ambiguity, and handle confidential employee data with sound judgment.
