Payroll & Onboarding Specialist - Sunrise Ford of Fontana
Position Summary
The Payroll & Onboarding Specialist is responsible for the accurate and timely processing of employee payroll and managing the onboarding process for new hires. This position serves as a key point of contact for employees and management regarding payroll, timekeeping, onboarding, benefits, employee records, and HR-related administrative matters.
The ideal candidate is highly organized, detail-oriented, confidential, and comfortable working in a fast-paced environment with multiple deadlines. This position requires strong knowledge of payroll processes, and applicable federal and California employment requirements.
Essential Duties and Responsibilities
Payroll Administration
- Process semi-monthly payroll accurately and timely for approximately 180 employees.
- Review and verify employee timecards, hours worked, overtime, meal and rest breaks, PTO, sick leave, bonuses, commissions, deductions, and other payroll adjustments.
- Review payroll reports prior to submission and identify and resolve discrepancies.
- Enter and maintain employee pay rates, compensation changes, promotions, deductions, and other payroll-related changes.
- Process new hires, terminations, transfers, pay changes, and other employee status changes in the payroll/HRIS system.
- Coordinate with managers and department leaders to obtain payroll approvals and resolve payroll questions.
- Maintain accurate payroll records and documentation.
- Assist with off-cycle payrolls, manual checks, final paychecks, and payroll corrections as needed.
- Maintain confidentiality of payroll information and employee personal and compensation data.
- Assist with payroll audits and provide reports as requested by management or accounting.
New Hire Onboarding & Offboarding
- Coordinate the onboarding process from offer acceptance through the employee's first day.
- Create and maintain employee profiles in ADP and other applicable systems.
- Ensure new hires complete required employment and onboarding documentation and trainings.
- Verify completion of required forms, including Form I-9, tax forms, direct deposit information, acknowledgments, and company policies.
- Coordinate background checks, drug testing, pre-employment requirements, and other applicable hiring procedures.
- Ensure new employees receive required handbooks, policies, benefits information, and company documents.
- Coordinate onboarding schedules with managers and department leaders.
- Monitor outstanding onboarding paperwork and follow up with employees and managers as necessary.
- Maintain complete and organized personnel files.
- Process final/termination checks.
Benefits Administration
- Assist employees with benefit enrollment and general benefits questions.
- Coordinate new hire enrollment and qualifying life event changes.
- Assist with open enrollment activities, including employee communications, enrollment paperwork, and benefit meetings.
- Maintain accurate benefit enrollment records and coordinate with benefit administrators and carriers as necessary.
- Monitor benefit deductions and assist with resolving payroll/benefit discrepancies.
Compliance
- Maintain working knowledge of federal and California payroll and employment requirements.
- Assist with compliance related to wage and hour requirements, payroll deadlines, required employee documentation, paid sick leave, final pay, meal and rest periods, and other applicable employment requirements.
- Maintain required payroll and employee records in accordance with company policies and applicable laws.
- Escalate complex payroll, employee relations, or compliance matters to HR leadership or appropriate outside resources.
