BRIEF JOB DESCRIPTION: The Department of Marine Resources (DMR) is seeking a detail-oriented, highly organized Office Specialist I to support the Bureau of Policy & Management and the Commissioner’s Office in Augusta. This central role keeps daily operations running smoothly and ensures staff, leadership, and visitors have what they need to succeed. The position requires maturity, discretion, and strong communication skills, along with independent judgment, initiative, and the ability to manage priorities and resolve challenges.

Typical duties will include but are not limited to:

  • Serving as a reliable point of contact, responsible for answering questions, solving problems, and connecting people with resources.
  • Managing administrative tasks such as correspondence, meeting agendas/minutes, reports, requests for information, scheduling, and office management.
  • Using a P-Card to make and track Bureau purchases, processing invoices, and supporting Finance functions.
  • Providing backup administrative support to the Commissioner’s Office.
  • Supporting other administrative processes across DMR as assigned.

MINIMUM QUALIFICATIONS: Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I and Office Associate II.

Preference will be given to candidates with proficiency in Microsoft Office, especially Excel and Microsoft Forms.

  • Retirement Plan– The State of Maine contributes 14.06% of pay to the Maine Public Employees Retirement System (MainePERS), on behalf of the employee.  
  • Gym Membership Reimbursement– Improve overall health with regular exercise and receive up to $40 per month to offset this expense. 
  • Health and Dependent Care Flexible Spending Accounts– Set aside money pre-tax to help pay for out-of-pocket health care expenses and/or daycare expenses.
