JOB PURPOSE:
The Prospect Development Specialist provides essential administrative and operational support to the Prospect Development team. This position is responsible for data entry and maintenance in Raiser's Edge and EverTrue, generating standard reports, supporting the management of prospect research software platforms, and assisting with day-to-day data operations that enable the team to deliver timely research, analysis, and portfolio support to frontline fundraisers. The Specialist ensures accurate and consistent data across systems and serves as a reliable resource for routine reporting and administrative tasks.

NATURE AND SCOPE:
Reporting to the Prospect Research Analyst, the Prospect Development Specialist supports the operational functions of the Prospect Development team. This position is responsible for entering and updating prospect and donor data in Raiser's Edge and EverTrue, pulling standard reports, and assisting with the administration of prospect research software tools. The Specialist works closely with the Advancement Services team to ensure data consistency and collaborates with team members to fulfill routine data requests. This role requires strong attention to detail, comfort working with databases, and the ability to manage multiple tasks in a deadline-driven environment. Teamwork and collaboration across campus and within DAR are essential.
PRINCIPAL ACCOUNTABILITIES:
Data Entry & Database Management:
• Enter, update, and maintain prospect and donor records in Raiser's Edge, ensuring data accuracy and adherence to established data standards.
• Update and maintain constituent records in EverTrue, ensuring synchronization with Raiser's Edge data where applicable.
• Process routine data updates including contact information changes, relationship linkages, employment updates, and biographical details.
• Assist with data cleanup projects, duplicate record management, and data hygiene initiatives as directed.
• Document data entry processes and maintain procedural guides for routine tasks.
Reporting Support:
• Pull and generate standard reports from Raiser's Edge and EverTrue to support prospect research, portfolio management, and fundraising activities.
• Compile data for regular team reports, including prospect activity summaries, portfolio snapshots, and pipeline updates.
• Assist the Prospect Research Analyst and Portfolio Managers with ad hoc data pulls and list generation as needed.
• Format and organize report outputs for distribution to team members and stakeholders.
Software & Systems Support:
• Assist with the day-to-day administration and maintenance of Raiser's Edge and EverTrue, including user support and troubleshooting basic issues.
• Support the management of prospect research software subscriptions and tools (e.g., DonorSearch, WealthEngine, iWave), including tracking renewals, managing user access, and coordinating with vendors as directed.
• Help maintain organized files and documentation related to software licenses, training materials, and system procedures.
• Assist with importing and exporting data between systems and platforms as needed.
Administrative Support:
• Provide general administrative support to the Prospect Development team, including scheduling meetings, preparing materials, and coordinating logistics.
• Assist with preparing prospect briefing materials by gathering and organizing background information from databases and research tools.
• Maintain organized electronic files and records for the team.
• Perform other duties as assigned to support the Prospect Development function.

MINIMUM REQUIREMENTS:
• Associate's or Bachelor's degree in a related field, or two (2) years of experience in an administrative position.
• Proficiency in Microsoft Word, Excel, and PowerPoint.
• Database management experience; familiarity with Raiser's Edge preferred.
• Excellent communication and interpersonal skills.
PREFERRED QUALIFICATIONS:
• Experience working in higher education, nonprofit, or fundraising environment.
• Experience with Raiser's Edge, EverTrue, or similar advancement/CRM platforms.
• Familiarity with prospect research tools or data management processes.
• Experience with data entry, reporting, or administrative support in a development office.
