Position Overview
The Mob Administrator role is responsible for ensuring all Mob-related processes are communicated and followed through with all key stakeholders regarding new shop openings. Specifically, the person in this role should be able to coordinate and schedule up to a minimum of 300 mobsters throughout the Dutch Bros organization at any given time. Other responsibilities include booking all travel, managing hiring parties, facilitating the Mob hiring process, and ensuring time cards and reimbursements are submitted. The Mob Administrator is responsible for communicating current, upcoming trips, and changes to any parties involved.
Key Result Areas
Organize MOB hiring and hiring events:
Work with RAC and Business Coach to set dates for hiring events
Work with Recruitment Team to get job ads and postings open/posted
Coach Lead MOB and New Operators on successfully executing hiring parties
Assist in assembling MOB teams for all trips and events and communicate details and updates
Work with Dutch Bros recruitment team to coordinate MOB hiring and schedule interview times, locations, and attendees (up to 150 interviews)
Communicate monthly MOB headcount with Directors
Consistently evaluate, update, and refine the MOB structures, opening processes, hiring parties, and grand opening parties
Schedule new Mobster training and make sure proper documents are shared with trainees
Maintain documents describing the MOB hiring process and special event staff positions
Plan and facilitate all MOB training
Book and communicate all hotel, flights and travel accommodations with teams and manage Zendesk and accounting tasks daily:
Approve weekly MOB reimbursements through the Concur app (meal per diem, baggage, fuel, mileage, etc.)
Ensure all transaction sheets for accounting are done weekley
Ensure all HR documentation is turned in for MOB new hires and resignations
Respond to team emails
Ensure all flight, hotel, rental car accommodations are booked and sent to all stakeholders
Make sure all transactions are recorded on expense sheet
Communicate details with Franchisees and Operators, as needed (all stand openings)
Use MOB trip planner to build trips, communicate daily with stakeholders on trip details
Communicate current happenings, progress with openings, and urgent updates to all relevant team members
Take notes from weekly Lead meetings and highlight action items
Check-in weekly with Director of Shop Activation and RAC to ensure all openings are staffed accordingly and communicate if any adjustments are needed
Maintain Mobster locations in Deputy
Communicate with on the ground Lead Mobsters, as needed , regarding MOB team compilation, travel, and any applicable updates
Attend and coordinate in person Lead Mob meetings

Job Qualifications
2 years of MOB experience or Shop Leadership experience (Shop Lead and above), or equivalent experience required
1 year of Administrative experience, preferred
Operator/Franchisee Endorsement
Quick-decision making skills
Demonstrate energy and passion for the company
A positive, supportive, and collaborative team member
Works well under pressure with the ability to manage high volume projects
Excellent written and verbal communication skills
Job may require travel, odd hours, nights, and weekends
Proficient in Google Suite
Location Requirement:
This role is located in the Greater Phoenix area. This position is required to be in office 4 days per week (Mon-Thurs); Fridays are optional remote work days.
Physical Requirements
In-Office Environment: Must be able to work in a busy, crowded, and loud office with frequent distractions and interruptions
Must be able to collaborate in-person with occasional impromptu in-person meetings
Office Conditions: Adaptability to typical office conditions, which may include exposure to air conditioning, heating, artificial lighting, and varying noise levels
Mobility: Ability to sit, stand, reach, twist, stretch, and work at a desk for long stretches. Must be able to occasionally move or lift office items up to 25 pounds
Hearing Requirements: Hearing must be sufficient or correctable to ensure clear understanding of spoken information, including participating in virtual meetings and phone calls. Use of hearing aids or other assistive devices is acceptable if needed.
Reading and Writing Proficiency: Ability to read and write in English is essential for processing documents, drafting reports, and following up on necessary actions. Proficiency in written communication is required to handle job-related tasks effectively.
Vision Requirements: Vision must be adequate or correctable to perform essential job duties, such as reading documents on a computer screen and using other visual tools. Use of corrective lenses or other measures to meet visual requirements is expected if needed.
Technology Proficiency: Must be proficient in operating a computer and other office productivity tools such as printers, scanners, and collaboration software.
Effective Communication: Must possess strong verbal and written communication skills to interact effectively with team members, clients, and other stakeholders via email, video conferencing, and other in office communication tools.
