Client Services Specialist

We're seeking a Client Services Specialist who thrives on helping clients succeed by ensuring benefit information is accurate, accessible, and seamlessly integrated across our organization. This role is ideal for someone who enjoys solving problems, coordinating across teams, and serving as a trusted resource for both clients and internal partners.
Reporting to the Manager of Client Services, you'll play a critical role in supporting new client implementations, maintaining benefit information, and ensuring our operational teams have the resources they need to deliver exceptional service.

Your Mission: What Success Looks Like
Your primary accountability is to ensure client benefit information is accurate, accessible, and maintained throughout the client lifecycle, enabling Health Advocate to deliver a seamless service experience.

Client Support Excellence
- Deliver timely, responsive support for both new and existing clients.
- Serve as a trusted resource for client questions related to benefit information and ongoing service needs.
- Ensure clients experience a smooth transition from implementation through ongoing support.
Benefit Information Accuracy
- Maintain accurate and complete client benefit information across Health Advocate systems.
- Ensure operational teams have reliable, up-to-date benefit documentation needed to support members.
- Protect the integrity and quality of client data through careful review and maintenance.
Cross-Functional Partnership
- Collaborate effectively with Sales, Operations, Client Care, carriers, and vendors to resolve requests and support client needs.
- Build strong working relationships that promote efficient communication and service delivery.
- Help ensure a seamless client experience through proactive coordination across departments.
What You'll Do: Your Roadmap to Impact
Client Service & Support
- Coordinate client service requests and work collaboratively across departments to ensure timely resolution.
- Serve as a primary point of contact for clients regarding benefit information, ongoing service requests, and account updates.
- Support the successful onboarding of new clients while maintaining excellent service for existing accounts.
Benefits Administration
- Collect, review, and maintain client-specific benefit information and contractual details.
- Develop clear, accessible benefit documentation for operational teams.
- Ensure benefit content is accurate, current, and readily available to support member advocacy.
Data Management
- Enter and maintain client information within Health Advocate's core systems.
- Verify data accuracy and integrity across multiple platforms.
- Support reporting needs and ensure information is complete and reliable.
Collaboration & Coordination
- Partner closely with Sales, Operations, Client Care, carriers, and vendors to support client needs.
- Act as the liaison between internal operational teams and Sales to facilitate successful client installations and ongoing account maintenance.
- Resolve issues through proactive communication and effective coordination.
Continuous Improvement
- Identify opportunities to improve workflows, documentation, and client service processes.
- Contribute to a culture of operational excellence by maintaining high standards of quality, accuracy, and responsiveness.
Who You Are: The Professional We're Looking For
You're a collaborative, detail-oriented professional who understands that exceptional client service depends on accuracy, communication, and strong partnerships.
You bring:
- Bachelor's degree or equivalent professional experience.
- Two or more years of experience supporting employee benefits, healthcare, insurance, or related client service functions.
- Strong proficiency with Microsoft Office applications, including Excel.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- The ability to manage multiple priorities in a fast-paced environment.
- A proactive, customer-focused approach to problem solving.
- The ability to work independently while collaborating effectively across teams.
Preferred Experience
- Experience supporting employee benefit plans or health and welfare programs.
- Experience working with benefit administration systems or CRM platforms.
- Knowledge of health insurance carriers and employee benefits administration.
Mental & Physical Requirements
- This position is remote (work from home) by design.
- Essential functions include speaking, typing, participating in virtual meetings, and communicating regularly with clients, carriers, vendors, and internal teams.
- The role requires sustained attention to detail, effective organization, and the ability to manage multiple concurrent priorities.
