Job Description – Product Owner
As the Product Owner for ProviderSoft, you will be accountable for translating product priorities into clear, execution-ready work that advances our mission: to empower Early Childhood Development providers with the software, service, and expertise they need to achieve operational excellence, enabling them to deliver the highest quality care to children and families within their communities.
You will sit inside Engineering, reporting to the Director of Engineering, and partner closely with Client Services, Sales, and leadership across the business.
A key competency of this role is fluency with AI-Directed development workflows. This goes beyond using AI tools to draft user stories. You will use AI to elaborate functional specifications to a quality bar where the development team can build with minimal clarification, accelerating discovery, design, and delivery while preserving the workflow integrity that our clients depend on for daily operations.
ProviderSoft supports complex, real-world agency operations across case management, scheduling, billing, regulatory reporting, and back-office workflows. You will ensure the delivery team has precise requirements, clear priorities, and shared understanding while preserving workflow integrity for agencies running mission-critical daily operations.
Responsibilities
Client Discovery & Requirements Integrity
- Run a structured client feedback program: interviews, CS and Sales intake, and theme synthesis that informs roadmap discussions
- Translate agency, operational, and internal stakeholder needs into detailed, unambiguous requirements
- Ensure workflows reflect how ProviderSoft is used in production environments, including billing, case management, and regulatory reporting processes
- Identify edge cases, configuration impacts, dependencies, and data implications early in the lifecycle
- Surface underutilized features and pain points through usage data and client conversation
AI-Elaborated Specification & Solution Design
- Produce functional specifications structured and complete enough to serve as direct input to development, with materially reduced clarifying exchanges between product and engineering
- Build and refine AI-assisted spec workflows that advance the team's AI-Directed practice
- Contribute to the continued evolution of our AI-Directed Development Lifecycle (AIDLC), refining workflows, tooling, and team practices as we deepen AI fluency across the team
- Translate client problems into clear user stories, acceptance criteria, and interactive mockups
- Maintain and evolve UI and UX standards across the product as we modernize legacy functionality into Vue
- Vet designs with internal stakeholders and incorporate feedback through visible iteration
Backlog Ownership & Delivery Clarity
- Own and maintain the ProviderSoft product backlog, aligned to platform priorities and roadmap direction
- Triage incoming cases and prioritize against client value, delivery cost, and operational stability
- Triage and influence prioritization of technical debt and maintenance work alongside new capability development, partnering with engineering leadership on the balance
- Drive triage efficiency so that most cases are tagged, valued, and routed within two weeks of creation
- Maintain backlog readiness to support predictable sprint planning and delivery execution
- Serve as the primary day-to-day product contact for the ProviderSoft delivery team, actively removing blockers by resolving requirement gaps and priority conflicts
Release Readiness & Stakeholder Communication
- Facilitate the creation of test plans, with QA generating test cases from specs in advance of development where possible
- Perform user acceptance testing once development completes, validating against acceptance criteria and real-world workflows
- Ensure release notes, documentation inputs, and internal enablement materials are complete and accurate
- Partner with Client Services on change communications so clients understand what is shipping and why
- Monitor post-release adoption and feedback, coordinate follow-up work as needed
Documentation & Modernization Awareness
- Treat documentation as a first-class deliverable. Your specifications and updates feed into a functional documentation pipeline that supports AI-assisted development, defect resolution, and onboarding
- Contribute requirements and clarity for initiatives spanning legacy and modernized parts of the platform
- Help evolve ProviderSoft in alignment with long-term UI, architecture, and ecosystem goals while respecting current client realities
Required Experience & Capabilities
- 3 to 5+ years of experience as a Product Owner, Product Manager, or in a similar delivery-focused product role in B2B SaaS
- Demonstrated experience producing structured specifications that developers can build from without extensive clarification
- Working AI fluency. You actively use Claude, Copilot, or similar tools in your daily craft and can speak to specific workflows you have built
- Experience running customer discovery: interviews, feedback synthesis, translating qualitative input into prioritized work
- Strong written and verbal communication, with the ability to clarify ambiguity and produce specifications, user stories, release notes, and stakeholder updates without external help
- Comfort with mockup and prototyping tools such as Figma or Balsamiq, with a real point of view on UI and UX quality
- Strong experience defining requirements for complex, workflow-driven, or legacy-rich platforms
Strongly Preferred
- Experience leading or championing AI-Directed development practices within a product or engineering team, including evolving workflow design, tooling choices, and team adoption
- UX and design depth beyond mockups: design systems thinking, user research methods, accessibility awareness
- Working fluency with product analytics (feature adoption, usage telemetry, funnel analysis)
- Healthcare, EdTech, or regulated-industry SaaS experience
- Experience working in or near a legacy modernization effort, comfortable writing specifications that span old and new architecture
- Experience with hosted enterprise operational software serving diverse customer operating models

Your home! ProviderSoft's regular office is a virtual network. Each member of the team works from home communicating via Teams and coordinating with online project management tools. We also hold office space in Warminster, PA for when the need or desire arises to work face-to-face.
