Job Description
The Claims Assistant supports the Claims Manager with the administrative, documentation, communication, and tracking tasks necessary to manage workers’ compensation, general liability, auto, OCIP, and CCIP claims from initial report through closure. The position plays an important role in helping WPI care for employees during the claims process while supporting timely communication, accurate documentation, return-to-work coordination, claim tracking, and compliance with applicable state, local, and federal requirements.
This position is primarily administrative in nature but requires strong follow-through, confidentiality, organization, attention to detail, and the ability to communicate professionally with employees, managers, medical providers, insurance carriers, and internal WPI team members.
Job Duties / Responsibilities
- Assist the Claims Manager with the organization, tracking, and documentation of workers’ compensation, general liability, auto, OCIP, and CCIP claims.
- Support claim files from the date of incident through closure by helping collect, organize, and maintain required documents, correspondence, notes, forms, and related records.
- For Fleet Claims, help organize and coordinate body shop repairs, rental vehicles, accident reports, etc.
- Record, file, and maintain workers’ compensation claim documents and related documentation.
- Assist with organizing worker statements, witness statements, medical documentation, work status forms, correspondence, and supporting claim information.
- Help coordinate early Return to Work efforts by tracking work status updates, modified-duty documentation, carrier communication, modified-duty payroll reports, and follow-up items as directed by the Claims Manager.
- Assist the Claims Manager with EAIP and SAWP reimbursement requests.
- Help maintain and update Grab and Go packets, Return to Work materials, claim forms, training materials, modified duty job descriptions, and related administrative resources as directed.
- Assist with entering, updating, and maintaining injury, near miss, and claim information in company databases or claim tracking systems.
- Support claims-related reporting by gathering data, updating spreadsheets, and helping prepare basic summaries related to litigation rates, claim costs, claim duration, claim status, open claims, closed claims, and other performance metrics.
- Assist with communication and follow-up between employees, managers, EHS team members, insurance carriers, clinics, and medical providers as directed by the Claims Manager.
- Help schedule, track, and document medical appointments, treatment clinic information, work releases, claim updates, and required follow-up actions.
- Assist with maintaining treatment clinic information, protocols, contact lists, and regional claim resources.
- Support EHS, Field Operations, managers, and the Claims Manager with incident investigations, corrective action documentation, and proactive claims-related follow-up.
- Maintain confidentiality of employee health, claim, legal, and company information.
- Understand and comply with all WPI policies, procedures, and the corporate safety program.
- Act as the alternate Designated Employer Representative (DER) for WPI's Drug and Alcohol Testing Program, ensuring uninterrupted program administration during periods when the primary DER is on vacation, leave, or other absences.
- Perform other claims, safety, administrative, and clerical duties as assigned.
Required Skills and Abilities
- Ability to maintain accurate records and organize claim, safety, medical, and administrative documentation.
- Proficient with computers, Microsoft Windows, and Microsoft Office Suite, including Excel, Word, and Outlook.
- Ability to work in company software programs and claim tracking systems.
- Strong written and oral communication skills.
- The ability to communicate professionally and respectfully with employees, managers, medical providers, carriers, and other stakeholders.
- Ability to prioritize workload, recognize priority conflicts, and seek guidance when needed.
- Ability to work independently while also working effectively in a team environment.
- Strong organizational skills and attention to detail.
- Ability to handle sensitive and confidential information with discretion.
Basic Requirements
- High school diploma or equivalent.
- Strong organizational, communication, and follow-through skills.
- While we are seeking candidates with prior experience in this field, we also welcome individuals with no previous experience who demonstrate strong potential, a willingness to learn, and a desire to build a career in the industry.
Preferred Requirements
- Prior experience in construction, safety administration, claims administration, workers’ compensation, insurance, risk management, human resources, or a related administrative support role.
- Familiarity with workers’ compensation claim documentation, Return to Work processes, medical work status forms, or claim file management.
- Local to the office is preferred.
Physical and Work Environment Requirements
- Primarily office-based administrative work.
- Regular use of a computer, phone, scanner, copier, email, spreadsheets, and document management systems.
- May require occasional coordination with regional offices, project teams, clinics, or employees by phone, email, or Microsoft Teams.
