Overview

The Food & Beverage Coordinator provides administrative, financial, and operational support for both the Yellowbell Restaurant and Banquet departments. This role is responsible for managing invoicing and departmental records, facilitating communication between teams, supporting day-to-day administrative functions, and assisting with restaurant leadership coverage as needed. The ideal candidate is highly organized, detail-oriented, and capable of balancing office responsibilities with hands-on operational support.

Essential Job Functions

Financial & Administrative Responsibilities

• Process and maintain all food and beverage invoices for Yellowbell Restaurant and Banquet operations.
• Verify invoice accuracy, code expenses appropriately, and submit documentation according to company accounting procedures.
• Track departmental expenditures and maintain organized financial records.
• Assist with month-end reporting and inventory documentation.
• Prepare and maintain department files, reports, correspondence, and other administrative records.
• Support scheduling, payroll review, and labor tracking as directed by department leadership.
• Coordinate purchase requests and maintain vendor documentation.

Department Coordination & Communication

• Serve as a primary point of contact for communication between Yellowbell Restaurant, Banquet Operations, Culinary, and hotel departments.
• Distribute meeting notes, departmental updates, and operational communications.
• Assist with planning and coordination of departmental meetings, trainings, and employee recognition activities.
• Help ensure operational information is communicated accurately and timely across all teams.

Operational Support

• Provide leadership coverage in Yellowbell Restaurant when needed.
• Function as a Lead during assigned shifts by supporting service execution, guest satisfaction, and team performance.
• Assist with opening, closing, and floor supervision responsibilities.
• Support restaurant and banquet leadership during high-volume periods, special events, and staffing shortages.
• Resolve guest concerns professionally and escalate issues when necessary.
• Maintain compliance with company service standards, food safety requirements, and operational policies.

General Responsibilities

• Promote exceptional guest service and uphold hotel and brand standards.
• Maintain confidentiality of financial and personnel information.
• Support continuous improvement initiatives within the Food & Beverage department.
• Perform other duties as assigned by management.

Qualifications

Required

• High school diploma or equivalent.
• Minimum one year of administrative, hospitality, restaurant, or food and beverage experience.
• Strong organizational and time management skills.
• Proficiency in Microsoft Office (Excel, Word, Outlook).
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Ability to work flexible schedules, including evenings, weekends, and holidays as business demands require.

Preferred

• Previous hotel, restaurant, or banquet experience.
• Experience with invoice processing, purchasing, or accounting support.
• Leadership or supervisory experience in a food and beverage environment.
• Experience with hotel and restaurant management systems.

Physical Requirements

• Ability to stand and walk for extended periods during operational shifts.
• Ability to lift and carry up to 25 pounds.
• Ability to move between office and restaurant/banquet environments throughout the workday.
