Job Summary
The Commercial Loan Operations Collateral Administrator is responsible for managing and maintaining collateral records associated with commercial loan transactions. This role ensures that all collateral documentation is accurately recorded, tracked, and monitored in accordance with loan agreements, internal policies, and regulatory requirements. The administrator works closely with loan booking, servicing, legal, and risk teams to support the integrity and completeness of collateral data throughout the loan lifecycle.
Job Responsibilities:
- Review and process collateral documentation related to commercial loans, including mortgages, UCC filings, assignments, and title policies.
- Input, review and maintain accurate collateral records in loan servicing systems and document repositories.
- Ensure that lien positions, insurance, valuations, and other collateral conditions are properly recorded and tracked.
- Coordinate with legal, loan booking, and post-closing teams to resolve missing or incomplete collateral documentation.
- Monitor collateral exceptions and follow up on outstanding items to ensure timely resolution and compliance with credit policies.
- Support audits, regulatory exams, and internal reviews by providing accurate and complete collateral records.
- Assist in the development and maintenance of procedures related to collateral management.
- Work collaboratively with internal departments and external vendors (e.g., title companies, attorneys) to ensure the integrity of collateral records.
- Uses independent judgement and discretion to make decisions.
- Analyzes and resolves problems.
ADDITIONAL ACCOUNTABILITIES
- Performs special projects, and additional duties and responsibilities as required.
- Consistently adheres to regulatory and compliance policies and standards linked to the job as listed and complete required compliance trainings. Accountable to maintain compliance with applicable federal, state and local laws and regulations.
JOB REQUIREMENTS
Required Qualifications:
- Education level required: College, Vocational or Associate's Degree (2 years or equivalent) or equivalent combination of education and experience.
- Minimum experience required: 2+ Years experience in a large commercial bank or related financial institution.
Preferred Qualifications:
- Education level preferred: Undergraduate Degree (4 years or equivalent) in Business, Finance, Accounting, or related field.
- Basic understanding of Commercial Loan Servicing. Including knowledge of CRE, C&I, construction, or SBA loan products and familiarity with core loan servicing systems (e.g. ACBS, AFSVision, nCino, etc.).
Job Competencies:
- Proficient in Microsoft Excel and Word.
- Familiarity with collateral types, documentation, and lien perfection practices.
- Proficient in loan servicing platforms and Microsoft Office (especially Excel).
- Ability to work effectively in a deadline-driven, team-oriented environment.
- Excellent organizational, analytical, and communication skills.
- Strong interpersonal and communication skills, with a team-first mindset.
- Demonstrates a strong ability to build and maintain effective relationships with stakeholders by communicating clearly, engaging in proactive collaboration, and leveraging cross functional insights.
