Job Description:
The Venue Event Manager is responsible for leading the planning, coordination, and execution of a diverse portfolio of client and internally produced events hosted at Circuit of The Americas. This role serves as the primary liaison between clients, vendors, and cross-functional teams to deliver exceptional event experiences from concept through completion. The ideal candidate is highly organized, solution-oriented, and thrives in a fast-paced environment where attention to detail, proactive communication, and operational excellence are essential.
Requirements
- Partner with clients to understand their event goals, vision, and operational requirements, ensuring every detail aligns with their expectations and delivers an exceptional guest experience.
- Lead the planning, coordination, and on-site execution of Circuit of The Americas-produced events, overseeing all phases from initial concept through post-event wrap-up.
- Serve as the primary point of contact for assigned clients throughout the planning process, providing timely communication, project updates, creative solutions, and exceptional customer service.
- Coordinate with internal departments, venue operations, security, catering, production, vendors, and external partners to ensure seamless event logistics and execution.
- Develop, prepare, and distribute comprehensive Banquet Event Orders (BEOs) and other event documentation to ensure alignment across all operational teams.
- Create and manage event budgets, monitor expenses, and identify opportunities to maximize efficiency while maintaining high-quality event standards.
- Develop detailed event timelines, production schedules, and operational plans to ensure all deliverables are completed on schedule.
- Anticipate potential operational challenges and proactively implement solutions to ensure successful event execution and an outstanding client experience.
- Oversee on-site event operations, providing leadership and real-time decision-making to ensure events are executed safely, efficiently, and at the highest standard.
- Conduct post-event evaluations with clients and internal stakeholders, gathering feedback and identifying opportunities for continuous improvement and operational excellence.
- Build and maintain strong working relationships with clients, vendors, and internal teams to support long-term partnerships and repeat business.
- Support the Events & Hospitality team with additional projects, initiatives, and responsibilities as assigned.
Knowledge, Skill, & Ability:
- Strong organizational skills with the ability to manage multiple events and priorities simultaneously.
- Excellent communication, interpersonal, and client relationship management skills.
- Proven ability to work collaboratively across departments and with external partners.
- Strong problem-solving skills with the ability to remain calm and adaptable in a dynamic environment.
- Experience managing event budgets, timelines, and operational logistics.
- Willingness to work evenings, weekends, and holidays as event schedules require.
Required Qualifications:
- Bachelor’s degree (or equivalent)
- Must have proven experience in venue management or event operations in sports or entertainment venues
Physical Demand & Work Environments:
- Ability to stand, sit, use of hands to handle, or feel, reach with hands and arms.
- Ability to lift and/ or move up to 25 pounds.
- Ability to squat, bend, twist, push/pull.
- Ability to stand/walk for long periods.
- Ability to work extended hours during events (18-20 hours per day) in any weather elements.
- Work in extreme environments outdoors throughout the year.
- The noise level in the work environment is usually moderate but can be loud during events.
