8650 Human ResourcesThe Human Resource Specialist provides support to the delivery of human resource services with specific responsibility for providing information to employees regarding policies and regulations; addressing a variety of issues and/or providing general support; maintaining records, files and databases of personnel actions, evaluations, and longevity; and assisting in ensuring that personnel functions conform to all applicable regulatory requirements.SCHEDULE: Generally, coverage needed M-F, 8:00 am- 12:00 pm, with flexibility to provide additional coverage during PTO or occasional afternoon coverage between 1:30 pm-5:00 pm, based on departmental needs.
PURPOSE OF THE JOB
Be the welcoming face of Human Resources at one of the Central Valley’s largest healthcare organizations. As the HR Specialist – Front Desk, you will be the first point of contact for employees, leaders, physicians, applicants, vendors, retirees, and visitors who connect with Human Resources.
You will play an important part in creating a positive employee experience for a workforce of more than 5,300 employees, while providing day-to-day administrative support across the HR department. From answering questions and connecting employees with the right resources to supporting badges, employment verifications, employee information changes, and other HR processes, your work helps keep HR moving and ensures our employees receive responsive and professional service.
The ideal candidate is friendly, organized, dependable, and service-oriented, with the ability to stay calm and helpful in a fast-paced environment. You will interact with people from all areas of the organization and will need to use good judgment, discretion, and confidentiality when handling employee information.
WHAT YOU'LL DO
Create a Great First Impression
- Welcome employees, visitors, physicians, vendors, and other guests to Human Resources with professionalism and a genuine customer-service mindset.
- Serve as a knowledgeable first point of contact, listening to questions and connecting individuals with the appropriate HR resource or team member.
- Answer, screen, and direct telephone calls and inquiries while providing timely and helpful assistance.
- Maintain a professional, organized, and welcoming HR lobby and front desk environment.
Support the Employee Experience
- Assist employees with HR forms, general questions, and routine administrative needs.
- Maintain and stock HR forms and resources and assist employees with completing forms when needed.
- Process employment verifications and provide timely service to employees, former employees, and external organizations.
- Assist retirees with address changes, direct deposit updates, and other HR-related needs.
- Perform assigned data entry, including address changes and updates to employee personal information.
- Provide administrative support to Payroll, Recruitment, Records/Compliance, HR Analysts, and other HR team members.
Keep HR Operations Moving
- Open, sort, and distribute incoming mail and front desk e-fax correspondence.
- Coordinate the mailing of termination checks that are not picked up within the designated timeframe.
- Follow established procedures for vendor check-in and access.
- Maintain the GE badge system and access records.
- Print and distribute physician, transfer, and annual vendor badges.
- Distribute parking permits and maintain employee and carpool records.
- Distribute back-door keys and maintain required tracking logs.
- Deposit monies received by Human Resources with Patient Accounting.
- Monitor inventory and order HR supplies, including badges, code cards, badge clips, parking permits, and A-11 keys.

- Follow established policies, procedures, and regulatory requirements.
- Look for opportunities to improve processes, enhance the customer experience, and make HR services more efficient.

Pay Range
