Description
The Regional Clinical Operations Manager plays a key leadership role in driving the success of assigned clinics, with responsibility for clinic operations, team performance, patient experience, growth, and financial results. This leader oversees non-provider front- and back-office teams while partnering closely with providers, the VP of Operations, Finance, and support departments to build high-performing clinics and deliver an exceptional patient experience.
This role is ideal for a hands-on, results-driven healthcare leader who enjoys developing teams, improving operations, and using data to drive meaningful results. The Regional Clinical Operations Manager owns the operational and controllable financial performance of their clinics, identifying opportunities to grow revenue, improve access and productivity, manage expenses, and strengthen overall clinic performance.
Using clinic-level P&L and operational data, this leader monitors key performance indicators such as patient volume, appointment capacity, provider utilization, patient retention, treatment and procedure conversion, staffing productivity, labor costs, supply expenses, and contribution margin. They turn insights into action by identifying performance gaps, developing solutions, and driving results against budget, forecast, and organizational goals.

Frequent travel, up to approximately 50%, is required between assigned clinic locations and for company meetings or other business needs. This role requires regular in-person presence across multiple clinic locations, including Dallas, Denton, Flower Mound, Frisco, McKinney, Plano, Rockwall, and Sulphur Springs, TX.

Key Responsibilities
- Lead non-provider front- and back-office teams, directly and through clinic-level leaders, and oversee the daily operations required to support patient care across assigned clinics.
- Own the operational and controllable financial performance of assigned clinics in partnership with the VP of Operations.
- Understand the primary revenue, expense, and profitability drivers for assigned clinics and translate financial goals into actionable priorities for clinic teams.
- Monitor actual performance against budget, forecast, and prior-period results; identify material variances and implement corrective action plans in partnership with regional leadership.
- Participate in the development of annual clinic budgets, staffing plans, operating forecasts, and performance targets.
- Manage staffing plans, schedules, overtime, time-off approvals, and productivity based on patient demand, appointment volume, clinic hours, provider schedules, productivity standards, and financial targets
- Maintain appropriate controls over clinic purchasing, supplies, inventory, and equipment and ensure compliance with company purchasing and inventory procedures.
- Identify opportunities to reduce waste and control operating expenses without compromising patient care, employee safety, clinical quality, or the patient experience.
- Partner with Patient Services, Billing, Pharmacy, Finance, Human Resources, and other departments to resolve barriers affecting revenue, collections, patient access, operating efficiency, and profitability.
- Ensure accurate and timely completion of operational and financial reporting for assigned clinics.
- Present clinic performance, identified risks, financial variances, and recommended actions during monthly and quarterly operating reviews.
- Establish clinic and employee goals that align with organizational revenue, expense, quality, patient experience, and growth objectives.
- Train, coach, and hold employees accountable for achieving appointment capacity, productivity, patient retention, treatment conversion, and patient service goals.
- Provide hands-on operational support during urgent or exceptional staffing circumstances while prioritizing leadership, oversight, staffing solutions, and sustainable operational performance across the assigned market.
- Develop clinic leaders and high-potential employees through regular coaching, performance management, succession planning, and development opportunities.
- Drive consistent execution of Aspire operating standards, workflows, staffing models, provider templates, opening/closing procedures, and clinical protocols across assigned clinics.
- Partner with providers and regional leadership to optimize provider schedules, template utilization, patient throughput, clinical capacity, and productivity while maintaining appropriate quality and patient experience standards.
- Address patient complaints and service concerns promptly and identify recurring issues that may affect retention, reputation, or financial performance.
- Maintain a culture of quality and safety through employee training, adherence to clinical protocols, safety reporting, and completion of required drills.
- Perform site visits to each clinic in the assigned market at minimum twice per month or more frequently based on clinic performance and operational needs.

Supervisory responsibilities:
- Directly or indirectly supervises non-provider clinic employees and designated clinic-level leaders within the assigned market.
- Recruits, selects, onboards, develops, coaches, and manages the performance of assigned employees.
- Establishes clear individual and team performance expectations aligned with clinic and organizational KPIs.
- Conducts regular one-on-one meetings, performance reviews, and documented coaching and corrective action as appropriate.
- Ensures appropriate delegation, workflow ownership, and accountability across clinic teams.
- Partners with Human Resources and regional leadership regarding employee relations, performance management, workforce planning, and succession planning.
- Develops high-performing teams and identifies employees with potential for expanded responsibilities or advancement.
- Maintain a consistent in-person presence throughout the assigned market, visiting clinics at a frequency appropriate to operational needs, with higher-frequency presence at clinics requiring additional leadership, performance improvement, training, or quality oversight
Required Education and Experience:
- Bachelor’s degree in business, healthcare administration, management, or a related field; equivalent combination of education and relevant experience may be considered.
- Three to five years of progressive healthcare operations leadership experience, preferably including responsibility for multiple locations or departments.
- Demonstrated experience managing leaders and achieving results through others.
- Demonstrated experience with labor management, forecasting, operating expense management, budgeting, and performance improvement initiatives.
- Experience managing both front- and back-office clinical operations
- Demonstrated experience improving revenue, productivity, patient retention, or operating margins
- Experience reviewing operational dashboards, financial reports, and key performance indicators
- Experience working directly with healthcare providers to facilitate clinical and business operations
- Experience with practice management and electronic medical-record systems
- Must have a valid driver's license
- Experience working with EHR or practice management systems (NextGen, Athena, Epic, or similar)
