- Support the coordination of day-to-day security operations across company accounts, assignments, training activities, and administrative functions.
- Assist management with operational scheduling, shift coordination, meetings, training sessions, personnel movements, and other company activities.
- Coordinate administrative and logistical requirements associated with deploying employees to client locations.
- Help ensure personnel have the appropriate uniforms, credentials, identification, equipment, documentation, and administrative access required for their assignments.
- Maintain accurate records related to company-issued equipment, credentials, uniforms, personnel documentation, and operational resources.
- Coordinate with managers and operational leadership regarding staffing requirements, employee readiness, scheduling changes, and upcoming operational needs.
- Assist with tracking training requirements, certifications, licenses, credentials, and other employment or operational requirements.
- Identify administrative or logistical gaps and assist leadership with developing more efficient internal systems and workflows.
- Support special projects, company initiatives, training events, meetings, and operational planning as assigned.
- Provide high-level administrative support to company leadership, including calendar management, meeting coordination, scheduling, and daily prioritization.
- Assist leadership with executive reporting, follow-up items, documentation, correspondence, research, and administrative projects.
- Maintain organized digital records, personnel documentation, operational files, and compliance-related records.
- Serve as a professional point of contact for employees, applicants, clients, vendors, external partners, and general inquiries.
- Coordinate meetings and appointments involving multiple internal and external calendars.
- Maintain organized administrative systems and assist with improving company workflows and internal processes.
- Handle confidential and sensitive employee, company, operational, and executive information with discretion and professionalism.
- Create and post job advertisements across job boards, social media channels, and industry-specific recruiting platforms.
- Review applications and screen resumes based on established position requirements.
- Conduct initial candidate phone screens and identify qualified candidates for advancement.
- Maintain an active candidate pipeline for current and anticipated staffing requirements.
- Coordinate interviews between candidates, hiring managers, operations personnel, and company leadership.
- Maintain and update the company's Applicant Tracking System (ATS).
- Ensure candidate records, interview documentation, recruiting notes, and disposition information remain accurate and current.
- Communicate professionally with applicants throughout the recruiting process.
- Assist with interview scheduling, candidate follow-up, hiring coordination, and pre-employment requirements.
- Support recruiting initiatives for corporate security, event security, executive protection, and other security-related assignments.
- Coordinate the new-hire onboarding process from offer acceptance through orientation and deployment readiness.
- Ensure required employment, licensing, and compliance documentation is completed accurately and on time.
- Coordinate background checks, license verification, credential review, and applicable pre-employment requirements.
- Assist with employee setup, including identification, uniforms, equipment, credentials, badging, administrative accounts, and system access where applicable.
- Maintain accurate onboarding records and actively track outstanding requirements through completion.
- Coordinate with operations personnel and management to ensure newly hired employees are prepared for their assigned responsibilities.
- Lead professional and engaging new-hire orientation sessions covering company policies, workplace expectations, professionalism, culture, and operational standards.
- Assist with classroom instruction or facilitate company training modules for new and existing employees when required.
- Help ensure employees are administratively and operationally prepared before deployment to client assignments.
- 3–5 years of professional experience in security operations, logistics, workforce coordination, administrative operations, executive support, recruiting coordination, military operations, or a related field.
- Demonstrated ability to support leadership while independently managing multiple responsibilities.
- Experience working within a fast-paced, high-volume, or operationally demanding professional environment.
- Experience coordinating personnel, schedules, equipment, documentation, or workforce logistics strongly preferred.
