Description
The Assistant Manager supports the University’s operations by ensuring the timely and compliant onboarding of staff across all employment schemes, work pass administration as well as the timely and accurate charging of recruitment cost to the respective cost centres. As a specialist in work pass matters, the role provides subject‑matter expertise to support regulatory compliance and smooth onboarding processes.
The role also supports the team’s automation and digitalisation efforts by working with internal stakeholders to streamline workflows, standardise processes, and improve candidate and staff experience. In addition, the Assistant Manager contributes to the review and improvement of operational processes, SOPs, and service controls to support efficiency, consistency, and compliance.
Key Responsibilities:
Manage end‑to‑end pre‑employment and onboarding processes, including scheduling and conducting Day 1 orientation, to ensure timely, accurate, and compliant onboarding.
Prepare and issue onboarding documentation and access requirements, including related employment materials.
Verify employment and statutory documents to ensure completeness, accuracy, and compliance prior to commencement.
Administer work pass applications, renewals, issuance, and cancellations in accordance with regulatory requirements and timelines.
Provide timely and accurate advice to hiring units, employees, and stakeholders on work pass and onboarding‑related matters.
Reconciliation of work pass and pre employment billing
Drive automation, digitalisation, and continuous review of onboarding and work pass processes, SOPs, and service controls to improve efficiency, consistency, and service quality.
Requirements:
Degree in Administration or Human Resources areas
Good knowledge of employment‑related regulations and work passes is advantageous.
Strong interpersonal and communication skills, with the ability to work effectively with stakeholders at different levels.
Proven ability to manage high‑volume transactions with accuracy, attention to detail and sound judgement.
Proficiency in HR systems (e.g. Workday) and Microsoft Office applications is an advantage.
