What We Need

Seattle Pacific University is seeking an organized, adaptable, and service-oriented Art & Music Program Facilitator to coordinate the day-to-day operations of our Art and Music programs.

This position serves as an important point of connection for students, faculty, adjunct faculty, program chairs, and campus partners. The Program Facilitator coordinates academic and departmental processes, facilities and equipment, events, student employees, and administrative activities across both programs.

The ideal candidate enjoys working with people, creating order from many moving pieces, and helping academic programs run smoothly behind the scenes. Success in this role requires excellent organization and follow-through, sound judgment, strong communication skills, and the ability to balance competing priorities throughout the academic year.

What You’ll Do

Program & Academic Support

· Provide day-to-day operational and administrative support for the Art and Music programs, serving as a resource for students, faculty, adjunct faculty, staff, and visitors

· Support course scheduling, teaching assignments, registration and enrollment processes, catalog updates, syllabi collection, and classroom supply needs

· Assist with Art and Music scholarship processes and monitor scholarship requirements

· Process purchasing, invoices, reimbursements, honoraria, travel, and other departmental transactions; maintain departmental records and online resources

Facilities, Equipment & Events

· Coordinate classrooms, studios, rehearsal and performance spaces, building access, facilities requests, and safety-related needs

· Manage program technology, instruments, studio and audiovisual equipment, including inventory, checkout, rentals, repairs, and records

· Coordinate logistics and communications for concerts, recitals, exhibitions, and other program events

· Support alumni engagement, community outreach, and program-related activities

Student Employee Supervision

· Hire, train, schedule, supervise, and evaluate student employees

· Coordinate work assignments and approve student employee time and payroll submissions

Coordination & Communication

· Build effective working relationships with students, faculty, administrators, campus departments, and community partners

· Coordinate information and requests across both programs and help identify and resolve operational needs

· Maintain SharePoint, Canvas, and other departmental systems and resources

What You Bring

· Bachelor’s degree or an equivalent combination of education and relevant professional experience

· Experience providing program, academic, event, office, or operational support

· Strong organizational skills and the ability to manage multiple priorities and deadlines with attention to detail

· Excellent interpersonal, written, and verbal communication skills

· Demonstrated initiative, sound judgment, and ability to solve problems and follow through

· Ability to work both independently and collaboratively with students, faculty, staff, and community partners

· Proficiency with Microsoft Office and comfort learning administrative and academic technology systems

· Ability to supervise and provide direction to student employees

Preferred Qualifications

· Experience in higher education, an academic department, or an arts-related organization

· Experience supporting Art, Music, performing arts, exhibitions, or other creative programs

· Experience coordinating events, facilities, specialized equipment, purchasing, or inventory

· Experience supervising student employees or other part-time staff

· Familiarity with academic processes and systems such as Canvas, SharePoint, or Workday

Compensation & Position Details

Hourly Rate: $24.36 per hour

Status: Full-time, non-exempt

Schedule: 40 hours per week during the 10-month appointment

Appointment: September through June; this position is off appointment during July and August

Location: Seattle Pacific University, Seattle, WA

Because this position supports concerts, recitals, exhibitions, and other program activities, occasional evening or weekend work may be required.

Benefits: SPU pays employee premiums for medical, dental, and vision insurance; provides HSA/HRA contributions; contributes 7% to a retirement account with immediate vesting (as eligible); and offers a tuition discount program for employees and qualified dependents.
