Rehab Services Specialist

Main Function:
Works within a team environment to obtain prior authorization, complete patient registration, and schedule initial evaluations for physical, occupational and speech therapists for all outpatient rehabilitation locations across the system. Must have education in anatomy and ICD-10 coding to ensure proper reimbursement. This position must be cross-trained in the positions of Rehab Secretary and Outpatient Rehab Technician at all six outpatient rehab locations to aid in providing initial orientation and training for those positions, as well as to provide clerical or clinical coverage as needed. Reports directly to the System Director of Rehab Services.
Roles and Responsibilities:

Answer telephone calls professionally and courteously, return messages within 24 hours, and utilize telephone applications including call forwarding and conference calling.

Utilize various healthcare applications for patient authorization, registration, scheduling, clinical documentation, and communication, including ReDoc, eClinicalWorks, Soarian, Quadramed, Qliq, and insurance websites.

Obtain and verify referrals, insurance information, prior authorizations, ICD-10 codes, and billing requirements to ensure appropriate reimbursement and reduce the risk of claim denials.

Accurately register and schedule patients for simple and complex outpatient rehabilitation appointments across multiple locations, coordinating therapist specialties, certifications, referral priorities, and insurance guidelines.

Communicate effectively with patients, physicians, rehabilitation staff, and insurance companies; provide appointment preparation instructions, document authorization and insurance details, follow up on referrals and missed appointments, and cross-train on departmental responsibilities as needed.
Required Skills and Experience:

Education: High school diploma or equivalent required. Hospital or rehabilitation services experience required.

Knowledge: Working knowledge of anatomy, medical terminology, and rehabilitation services required. ICD-10 coding knowledge strongly preferred.

Experience: One to two years of healthcare experience, with knowledge of both the clerical and clinical aspects of rehabilitation services.

Skills: Strong organizational, prioritization, problem-solving, decision-making, and attention-to-detail skills required. Proficiency in Microsoft Office applications required.

Additional Requirements: Must demonstrate the ability to work effectively both independently and as part of a team. Basic Life Support (BLS) certification required within 90 days of hire.

Maintains professional and customer-focused behavior while supporting quality improvement initiatives, attending required meetings and training, following emergency procedures, and adapting work schedules to meet departmental and patient care needs.
Physical Requirements:
Due to the possibility of assisting at any rehab location with patient-related care: Appreciable physical effort or strain; occasionally repetitive efforts may involve lifting, pushing, and pulling. Must be able to lift at least thirty (30) pounds independently and at least one-hundred fifty (150) pounds with assistance of another person.
Exposure Category:
Category III. Tasks that involve no exposure to blood, body fluids, or tissues, but employment may require performing unplanned Category I tasks.

Pay Range Disclosure:
- Standard Rate of $18.31-$22.05 per hour plus benefits
