Purpose of the Role
The Brewing Administrator is responsible for the effective administration, control and reporting of brewing raw materials, production inventories and process data. The role supports Brewing Operations by maintaining system integrity, coordinating material movements, managing stock reconciliation activities and ensuring compliance with operational, quality and financial reporting
requirements. Acting as a key link between Brewing, Logistics, Quality, Planning, Supply Chain and Finance, the position provides critical support to operational performance and business continuity.
1. Raw Material Management, Inventory & Supplier Performance
• Maintain accurate inventory records for brewing raw materials and in-process materials.
• Monitor stock levels, material movements and storage capacity to ensure uninterrupted production.
• Coordinate incoming raw material deliveries in line with brewery production plans.
• Identify, investigate and resolve stock discrepancies, losses and inventory exceptions.
• Challenge suppliers where deliveries, documentation, quality standards or service levels do not meet brewery requirements.
• Support investigations relating to supplier performance, late deliveries, specification failures and stock variances.
• Escalate risks to supply continuity and inventory accuracy in a timely manner.
• Support monthly stock reconciliation and inventory reporting activities.
2. Brewing Systems, Data & Process Administration
• Maintain accurate master data, inventory records and production information within brewery systems.
• Ensure brewing transactions, stock movements and operational records are processed accurately and in a timely manner.
• Support implementation of approved master data changes and process improvements.
• Monitor system data integrity and investigate reporting or transactional discrepancies.
• Maintain documentation and records in accordance with brewery procedures and compliance
requirements.
• Provide administrative support to Brewing Operations through effective management of systems
and reporting processes.
• Act as a key user for brewing administration systems and support continuous improvement initiatives.
3. Reporting, Reconciliation & Compliance
• Prepare and maintain inventory, stock and delivery reports.
• Support weekly and monthly reconciliation activities.
• Ensure administrative processes comply with company policies and audit requirements.
• Support corrective actions arising from stock variances and process deviations.
4. Quality, Compliance & Documentation Management
• Coordinate brewing quality support activities through effective sample management, laboratory submissions and associated record administration.
• Ensure all production, quality and inventory records are maintained accurately, securely and in accordance with internal governance requirements.
• Support the planning, execution and successful completion of BRC traceability exercises.
• Provide administrative and operational support during FEMAS, supplier assurance and other internal or external audit activities.
• Act as custodian of critical brewing documentation, maintaining document integrity, version control and accessibility.
• Support the development, review, implementation and continuous improvement of Standard Operating Procedures (SOPs).
• Drive high standards of documentation governance and compliance.
• Promote a culture of compliance, accuracy and continuous improvement.
5. Stakeholder Communication & Collaboration
• Build effective working relationships across Brewing, Logistics, Planning, Quality, Finance and Supply Chain.
• Provide timely communication regarding stock status, delivery issues and inventory risks.
• Support operational decision-making through accurate and timely information.
• Act as a key point of contact for brewing administration activities.
Skills & Experience Essential:
Experience in manufacturing, brewing, supply chain or production administration; strong analytical and Excel skills; attention to detail; problem-solving capability; effective stakeholder management and communication skills.
Desirable:
Brewing industry knowledge, SAP experience, Sigma/Acadia experience and
understanding of inventory control processes
