Description

Responsible for providing professional and courteous telephone and front-office support to the Hidalgo County Community Service Agency (HCCSA). This position serves as an initial point of contact for customers, visitors, employees, community partners, and the general public. 

The position operates the agency telephone, accurately directs calls and inquiries to the appropriate department or staff member, provides general agency information, and performs a variety of clerical and administrative duties. Must maintain a professional demeanor, protect confidential information, and provide quality customer service while following agency policies, procedures, and applicable program requirements.
Essential Duties and Responsibilities

Operates the agency telephone system and answers incoming calls professionally, directs calls and inquiries to the appropriate department or staff member.

Greets customers, visitors, and the general public and provides basic information regarding agency services, programs, office hours, and procedures. 

Receives, records, and accurately relays messages, correspondence, deliveries, and other information to the appropriate employee or department. 

Performs general clerical duties, including filing, copying, scanning, data entry, document preparation, and maintaining records and logs. 

Assists administrative staff and other departments with routine clerical and office support as assigned. 

Maintains confidentiality and follows agency policies, procedures, customer service standards, and applicable federal, state, and County requirements. 

Performs other related duties as assigned by the supervisor or management. 

Skills  

Operating a multi-line telephone system. 

Communicating clearly and professionally in person, by telephone, and in writing. 

Providing courteous and effective customer service. 

Accurately relaying messages. 

Using computers and various software, including Microsoft Word, Microsoft Excel, Gmail, Outlook, and other agency-related software systems. 

Performing data entry and basic office procedures. 

Organizing work, maintaining accurate records, and handling multiple tasks while maintaining professionalism. 

Abilities 

Communicate effectively and professionally with customers, employees, and the public. 

Provide courteous and respectful customer service. 

Operate office equipment and computer software. 

Follow agency policies, procedures, and instructions. 

Maintain confidentiality and work effectively with others. 
High school diploma or GED required. 

Minimum of two (2) year of experience in clerical, receptionist, customer service, switchboard, or related office work; or an equivalent combination of education and experience. 

Basic computer skills. 

Ability to communicate effectively in English/Spanish, both verbally and in writing. 

Certificates, Licenses, & Registration
 
Must possess and maintain a valid Texas Driver's License throughout employment. 

Must maintain current automobile liability insurance while employed and operating a personal vehicle for workrelated duties, in accordance with agency and county policies.
