INCOMPLETE PLANNER (VOICE)

Not every job gets finished on the first visit, and what happens next is what separates a good service business from a great one. This role picks up exactly there: chasing the right materials, keeping suppliers honest on lead times, and getting the job rebooked and back on track, all while keeping the customer confident that it is being handled. If you like following something through until it is properly closed out, this is a satisfying role to be in. You will be working on behalf of a long standing Australian client in the glass repair and replacement industry, supporting their Incomplete Planning function. Role Snapshot

The Incomplete Planner is responsible for delivering on the time to service promise for jobs not completed on the first visit, ordering the correct glass and materials, coordinating outside services, and working with suppliers to confirm accurate lead times so jobs can be rebooked efficiently. The role also keeps customers updated on job status and pricing, and confirms deposits or approvals before work proceeds. Coverage is a confirmed day shift of 8:00am–5:00pm AEST (Sydney/Melbourne time, adjusting automatically with Australian daylight saving).

Key Responsibilities

Material & Resource Management

• Track and coordinate the ordering, delivery, and storage of glass and materials.

• Work with suppliers to avoid delays in material procurement.

• Respond promptly to quality issues and take corrective action. Customer Service

• Deliver a professional, caring, and friendly experience by phone and in writing.

• Keep customers informed of schedule changes, delays, or conflicts.

• Ensure jobs are executed in line with customer expectations. Productivity & Supplier Relationship Management

• Ensure accuracy of orders, including products, quantities, and specifications, so lead times can be confirmed for rebooking.

• Communicate proactively with planners and glazing supervisors on orders, delays, and issues to keep project timelines on track.

• Participate in supplier service review meetings covering performance, lead times, and pricing.

Qualifications & Experience Essential

• Excellent attention to detail, identifying missing information and outstanding actions.

• Persistence, following jobs through to completion.

• Strong organisation skills, managing a large volume of incomplete work at once.

• Sound time management, prioritising ageing and high risk jobs.

• Comfortable following up with branches, suppliers, and customers by phone as well as in writing.

• Process discipline, following established procedures consistently.

• Confident navigating multiple systems.

• Clear communication skills, maintaining accurate notes and comprehension both internally and externally.

• Strong problem solving, escalating or resolving issues appropriately.

• A sense of accountability and ownership of outcomes.

Desirable

• Experience with job management software such as SimPro.

• Previous experience in project coordination, ideally within the glazing industry.
