About the Role:
The Tariff PCO Specialist plays a critical role in managing the end-to-end tariff recovery process for imported project materials. Reporting to the Finance & Accounting Supervisor, this fully remote role is responsible for locating and processing Customs’ Entry Summaries, tracking duties on the Master Tariff Log, allocating costs to correct projects/scopes, and setting up Potential Change Orders (PCOs) to ensure clients are accurately billed.
What You’ll Do:
- Retrieve Entry Summaries from vendor portals (TQL WiseGrid, CH Robinson), isolate relevant pages into PDFs, and redact proprietary information following standard naming and file-management conventions.
- Cross-reference container and PO numbers against tracking reports and consult with Project Managers to tie each shipment to its respective project(s), scope(s), and PO(s).
- Record importer file numbers, entered values, duties, entry dates, countries of origin, shippers, HTSUS codes, rates, and individual line-item duties.
- Break out entered values and duties across POs, scopes, and projects, properly splitting tariffs on multi-project or multi-rate shipments.
- Build PCO Excel/PDF files using templates, apply sales tax by jurisdiction, apply OH&P per agreements, and verify billing eligibility before charging clients.
- Coordinate effectively with PMs, Sales, Accounting, and shipping vendors to resolve complex, multi-variable shipping scenarios.
Requirements:
- Strong proficiency in Microsoft Excel (filtering, lookups, multi-column data management, formulas).
- High attention to detail and accuracy in data entry, financial calculations, and file management.
- Familiarity with PDF editing tools.
- Ability to interpret customs/import documentation (Entry Summaries, HTSUS codes, duty rates).
- Strong organizational skills and disciplined file/folder management.
- Effective communication skills to collaborate with internal teams and external vendors.
Strongly Preferred:
- Background in construction, commercial products, or supply-chain cost management.
- Working knowledge of tariff/duty refund processes and evolving trade regulations.
- Experience allocating shared costs across multiple projects and cost centers.
