We are seeking an Elections Finance Administrator to join a mission-driven team that supports essential department operations. The Elections Finance Administrator is a self-motivated administrative professional with strong judgment, accuracy, and a customer-focused approach. In this role, you will support a wide range of core administrative functions, including accounts payable, purchasing, payroll, process improvement, and records management.

About The Role: This position is part of the Administrative Services team and reports to the Administrative Services Manager. It provides key administrative support that directly impacts frontline operations. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining confidentiality, sound judgment, and effective communication. Success in this position relies on accuracy, thorough follow-through, and consistently upholding the Department’s high standards.
Applying equity and social justice principles is a daily responsibility and a foundational expectation for all King County employees. In this role, you will incorporate these values into all aspects of your work and:
- Process invoices and P-card purchases in accordance with procurement and accounting policies and procedures. Research and compile data for information requests, including preparing spreadsheets or custom reports.
- Process, submit, and reconcile expense reports and employee reimbursements in compliance with King County policies and procedures.
- Purchase goods and services by following established guidelines.
- Process bi-weekly payroll by following established policies for time and labor transactions, reviewing and reconciling reports, entering data, resolving discrepancies, coordinating with teams, and applying knowledge of the Coalition Labor Agreement.
- Enter and assist with employee travel in Concur and follow up with employees as needed. Train on and explain travel policies and procedures to employees.
- Assist staff with New Employee Orientations for short-term temporary staff. Collect and process paperwork, including entering data into PeopleSoft, ensure all documents are complete, and follow up with staff on missing or incomplete documents.
- Create, document, and maintain standard work processes. Identify and contribute to the development of process improvements.
- Act as Records Management lead for payroll and finance.
Qualifications You Bring:
- Four years of increasingly responsible experience in accounts payable.
- Proficiency with technology tools, including intermediate-level skills in Microsoft Excel, Outlook, PowerPoint, Visio, Word, Adobe, Teams, and SharePoint.
- Demonstrated ability to work independently and collaboratively with sound judgment, flexibility, professionalism, and tact.
- Demonstrated ability to analyze and interpret data, contracts, policies, and procedures. Strong research skills, including preparing accurate reports and reconciling errors or discrepancies.
- Demonstrated skill in organizing and prioritizing a high-volume workload with competing deadlines, while maintaining strong attention to detail in an occasionally ambiguous environment.
- Clear and effective verbal and written communication skills with a commitment to maintaining confidentiality.
- Demonstrated skill and experience coordinating diverse assignments and supporting cross-team collaboration.
- Demonstrated ability to work effectively with a wide variety of customers in person, by phone, and via email.
Highly competitive candidates will have (desired, but not required):
- Knowledge of King County procurement, accounts payable, and/or payroll policies and procedures.
- Experience with Content Manager or an equivalent records management system.
- Demonstrated experience with identifying, analyzing, and improving specific internal processes, contributing to enhanced efficiency and operational excellence within the work unit.

Work Location: The work associated with this position will be performed primarily in person at Elections headquarters with some telecommuting work as needed. The work site for this position is the Elections Building, 919 SW Grady Way in Renton.
Work Schedule: This position is subject to the provisions of the Fair Labor Standards Act (FLSA) and is overtime eligible. The workweek is typically 40 hours per week, 8:00 a.m. to 5:00 p.m., Monday through Friday. This position is expected to be able to work during sudden changes to schedule that may include early mornings, late nights, weekends, and holidays during designated election times. Mandatory overtime (including weekends or evenings) will be required during elections and other peak work periods.
Travel to work locations throughout King County with limited or no public transportation services is required. A valid Washington State Driver's License is required to operate King County vehicles.
Union Representation: This position is represented by Teamsters Local 117.
Hybrid Work Environment: The work associated with this position will be performed primarily onsite with some telecommuting work as needed. Periodic deadlines around election cycles may require additional hours or flexibility in scheduling. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection, where they can reliably perform work and remain available and responsive during scheduled work hours. King County has a robust collection of tools and resources to support working remotely.
