📋 Tasks and responsibilities
IMPORTANT INFORMATION
This is a part-time opportunity, 2 days a week.
In this role, you support the Head of Projects & Transformation in the operational delivery of an academy transformation programme and its transition phase. Your focus is on coordinating thematic workstreams, aligning stakeholders, analysing and formalising business needs, preparing decision-making material, monitoring actions and risks, and supporting change management activities linked to the future academy.
You help translate identified needs into concrete workstreams and support their implementation.
Indicative workload distribution
- 40%: management and coordination of programme workstreams
- 30%: stakeholder coordination and project governance
- 30%: business analysis, communication and change management
Main responsibilities
Workstream management
- Identify and structure the workstreams needed for successful programme delivery.
- Define the objectives, scope, deliverables and stakeholders for each workstream.
- Prepare roadmaps and action plans.
- Organise and coordinate working groups.
- Follow up progress across the different workstreams.
- Identify risks, dependencies and key points of attention.
- Assess needs and possible scenarios in an objective way.
- Prepare analyses that support management decisions.
- Consolidate input from the different stakeholders.
- Ensure consistent progress reporting.
Examples of workstreams include district heating network, compressed air, testing facilities and infrastructure, technical training equipment, specialised training spaces, workshop and practical training areas, and the logistics and operations of a future site.
Stakeholder coordination and project governance
- Identify and engage the relevant stakeholders at multiple levels.
- Prepare and facilitate working meetings and workshops.
- Coordinate interactions between the different stakeholders.
- Prepare governance and steering meetings.
- Follow up decisions and action plans.
- Produce meeting minutes and executive summaries for effective project steering.
Business analysis
- Gather requirements from the relevant communities and stakeholders.
- Formalise business requirements and business needs.
- Carry out the required functional analyses.
- Map current and future uses, processes and requirements.
- Perform occupancy and space utilisation analyses.
- Prepare decision papers and scoping documents.
Communication and change management
- Prepare communication and presentation materials.
- Support communication towards impacted communities.
- Identify adoption and engagement risks.
- Consolidate user feedback.
- Contribute to change management activities.
- Prepare awareness and content materials.

📝 Your profile
- You have 5 to 6 years of professional experience.
- You have proven experience in business analysis, including requirement gathering, business needs analysis and the formalisation of requirements.
- You have experience in project coordination and/or coordinating multiple workstreams, including planning.
- You have experience facilitating multi-stakeholder working groups and workshops.
- You have experience in change, organisational, operational or business transformation projects.
- You have worked on projects involving technical infrastructure, workplace environments or training facilities.
- You can manage stakeholders across different levels and communicate with diplomacy.
- You are able to synthesise complex information and work with a high level of operational autonomy.
- You demonstrate strong listening skills, relational intelligence and a customer-oriented approach.
- You integrate quickly into a team and contribute positively to team spirit.
- You have advanced expertise in the Microsoft Office suite.
- You hold a bachelor's degree.
- You are fluent in French and Dutch.
- Demonstrable experience in the relevant domain or technology is required.
