Overview

The founder and CEO of a growing New York CPG brand is seeking a sharp, discreet, and highly organized Executive and Personal Assistant to be her right hand across both her professional and personal life. This is a rare hybrid role for someone equally at ease managing a fast-moving executive calendar in the office and bringing calm, order, and anticipation to a busy family household. The family already has a full-time nanny/PA.

 The principal spends most of her time at the company's office in Brooklyn, sporadically at the family's home in the FiDi, and travels internationally as needed. You will be her single, trusted point of contact, keeping both worlds running seamlessly and coordinating the family's household team so that life at work and at home stays organized and simple. This calls for someone proactive and anticipatory, who takes ownership, protects the principal's time and privacy, and operates with absolute discretion.

The general schedule will be Monday through Friday from 9am to 6:30pm. 

The ideal candidate will be highly resourceful, proactive, and able to thrive in the fast-paced, ever-changing environment of a startup. They should be tech-forward and AI-savvy, with a natural ability to leverage technology and emerging tools to work efficiently and stay ahead of the curve.

Equally important, the candidate should have excellent instincts and a strong understanding of the local landscape—someone who intuitively knows the right restaurants, venues, services, vendors, and experiences and can quickly identify the best options for the Principal.

Responsibilities

Include, but are not limited to:

 

In the office (executive support)

 

  • Own a complex calendar across multiple time zones, prioritizing and protecting the principal's time
  • Triage email and communications, draft correspondence, and make sure nothing falls through the cracks
  • Prepare for meetings: agendas, materials, briefings, and timely follow-ups
  • Coordinate domestic and international travel end-to-end, including itineraries, logistics, and visas
  • Manage expenses, invoices, and reporting, and liaise with finance as needed
  • Coordinate board, investor, and leadership meetings and their logistics
  • Track projects, deadlines, and action items, and keep the principal ahead of them
  • Be a warm, professional point of contact with the leadership team and external partners

 

At home (personal support)

 

  • Manage the family and personal calendar, syncing schedules across both parents and two school-age children
  • Book and coordinate personal appointments, family travel, and vacations
  • Handle household administration: bills, subscriptions, expense tracking, and record-keeping
  • Support school logistics, forms, activity sign-ups, and the children's calendars
  • Help plan family events, dinners, hosting, and special occasions

 

Household coordination

 

  • Act as the single point of contact for the family's household team (nanny and housekeeper), so the family coordinates through one person rather than many
  • Help manage staff schedules, coverage, time off, and back-up care, and arrange occasional sitters
  • Liaise with the household payroll provider and keep records clean and compliant
  • Build and maintain simple household systems and a running household manual, so everything runs smoothly, including when the family travels

 

Qualifications

  • Exceptionally organized, proactive, and anticipatory, with a gift for staying two steps ahead
  • Absolute discretion and sound judgment with sensitive business, legal, and personal matters
  • Excellent written and verbal communication
  • Equally comfortable in a fast-paced startup office and a private family home
  • Tech-fluent (calendar, email, expense, and project tools; Google Workspace and Slack a plus)
  • Calm, resourceful, and unflappable under pressure, with genuine warmth and a family-first mindset

Requirements

  • 5+years supporting a senior executive, founder, or private principal, ideally with a blend of corporate and private/family experience
  • Comfortable flowing between corporate and domestic responsibilities
  • Child-friendly
  • Flexible with hours around travel and time zones, and available for occasional travel if needed

  • Strong, verifiable references; legally authorized to work in the United States

  • Highly anticipatory, with the ability to understand what the Principal needs before she even asks - including making sure she eats
