Job Description
The Associate II, Administrative Services position provides administrative support to the Manufacturing Division Wilson Site Leadership Team as well as direct operational support to their departments. The position will require advanced computer skills and ability to follow our company's administrative processes. This position will work both independently and as part of a team.
Primary Activities:
Primary responsibilities for this position include providing administrative support, executing administrative tasks, purchase order management, and owning document control and similar departmental responsibilities. Additional activities, responsibilities, and competencies include but are not limited to the following:
Compliance:
- Ensure all responsibilities are executed in compliance with safety, environmental, quality (GMP), financial, and corporate governance requirements
- Maintain a safe workplace and manage duties in a safe manner.
- Serve as a departmental resource for compliance-related documentation, records management, document control, and standard operating procedure (SOP) administration
- Maintain document repositories and records in accordance with applicable regulatory and company requirements
Delivery:
- Perform administrative tasks for Site Leadership Team as assigned in support of efficient operations within the site and/or department
- Complete various assignments requiring analytical ability, independent judgment, creativity, and problem-solving skills
- Exercise sound judgment, maintain confidentiality, and proactively manage multiple priorities in a fast-paced manufacturing environment
- Manage complex calendars, meeting schedules, and conference room reservations
- Coordinate leadership meetings, town halls, staff meetings, and site-wide events
- Support continuous improvement initiatives and cross-functional projects
Cost:
- Provide purchasing support to assigned department and help manage expenses in alignment with budget
- Purchase miscellaneous supplies needed to support ongoing activities within the assigned department or area
- Recognize and implement opportunities for efficiency and financial savings including elimination of waste
- Arrange travel and expense reporting in accordance with company policies
People and Team:
- Maintain organizational charts, distribution lists, contact information, and departmental documentation
- Support hiring and interviews for prospective team members
- Function as liaison for communications between site leadership and all areas of the site team
- Build effective relationships within functional areas at the site as well as across the company's network
- Effectively communicate and interact with internal and external contacts that may include our company's senior leadership, public officials, state, local, and federal government officials
- Perform duties while supporting a culture of inclusion and positive work environment within the team and site
Education Minimum Requirement:
- High School Diploma or equivalent; Associate degree or position related certificates preferred
Required Experience and Skills:
- Minimum 5 years of experience working in an office or professional administrative role
- Strong organizational and time-management skills with the ability to manage multiple priorities with minimal supervision
- Strong computer skills and ability to use Microsoft office Suite as well as enterprise software systems supporting HR, purchasing, travel, expense management, and similar applications
- Strong attention to detail and follow-through
- High degree of professionalism with strong verbal and written communication skills
- Demonstrated ability to handle confidential and sensitive information with discretion
Preferred Experience and Skills:
- Experience supporting a manufacturing, pharmaceutical, biotech, or similar regulated industry
- Experience using enterprise systems such as SAP, Workday, Ariba, Concur, etc.
- Event coordination or management experience
- Demonstrated project management skills showing ability to prioritize tasks, manage timelines, and meet deadlines

The salary range for this role is: $63,800 - $100,400
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to relevant education, qualifications, certifications, experience, skills, geographic location, government requirements, and business or organizational needs.
The successful candidate will be eligible for annual bonus and long-term incentive, if applicable.
