Role Summary

The RFP Team Lead is a supervisor-coach role overseeing the firm’s Hong Kong-based team of RFP associates, and an active member of the Global RFP Lead Team.

 

The Team Lead will be responsible for the management and oversight of the Hong Kong based RFP associates. The Team Lead will also manage the day-to-day running of the workflow, which involves reviewing incoming work, coordinating assignments amongst associates and facilitating effective allocation. This effort will require working in close collaboration with the global RFP team and regional stakeholders.

 

As a member of the Global RFP Lead Team, the Team Leader will actively participate in leadership team meetings, resolve arising issues, assist with the production of relevant reporting, and support group-wide process improvements and drive changes.


Responsibilities:


1) Provide leadership, production support, and professional development to the APAC ex-Japan RFP Team; while working to ensure the achievement of team and divisional goals

    • Effectively managing the local RFP team including regular 1-1s, performance reviews, recruitment, and training and development.
    • Drive process improvements to maximize accurate answer alignment, ensure information and data is correctly sourced, and facilitate robust RFP and DDQ processes;
    • Serving as lead interface on behalf of the APAC ex-Japan RFP team with SMEs, and client-facing associates on issues associated with the RFP completion process; 
    • Understanding and representing changes required to align the ongoing processes and procedures in the service of commercially compelling industry-leading outputs;
    • Updating and maintaining the regional RFP training materials;
    • Creating and delivering team metrics.

2) Oversight of the APAC ex-Japan pipeline and workflow allocation

    • Oversight of all incoming work to the pipeline, working with the team and stakeholders to triage and assign as needed; ensuring timely and appropriate allocation of work;
    • Working in partnership with the Global RFP group and Global Head of RFP as required to support the smooth functioning of the overall global pipeline. 

3) Providing coaching and production support of RFPs and DDQs

    • Develop approach to proposal response and perform key activities such as drafting of proposals and research;
    • Ensure high quality proposal responses and processes;
    • Conduct legal/business reviews for all potential projects; Anticipating and resolving any compliance, legal, or regulatory review required for response;
    • Work with management and stakeholders to determine the final "go/no-go" decision;
    • Coordinate with internal business units to research and gather information necessary to prepare a responsive and compelling submission to the request for proposal;
    • Develop best practices and policies for working with client and business unit teams to increase effectiveness and efficiency of request for proposal process;
    • Work in alignment with Corporate Strategy, to deliver business outcomes in line with corporate and business unit objectives.

4) Active member of the Global RFP Lead Team

    • Participate in RFP Lead Team meetings, addressing issues, concerns, challenges, and opportunities relevant to the Global RFP group and act as a peer and support for regional RFP leaders;
    • Supporting management with statistical information or data, relevant to the functioning of the business unit;
    • Partner with Global Head of RFP in stakeholder management, presentations and cross functional relationships;
    • Oversight of projects (can include but not limited to: quality control, ServiceNow enhancements, technology initiatives particularly A.I.).

 


Qualifications:

Required:

  • University degree and 8+ years of relevant experience
  • Experience with writing and/or editing RFPs and DDQs
  • Strong understanding of the investment management industry
  • Team management and leadership skills
  • Sound business judgment when communicating on sensitive topics
  • Ability to interact and effectively address associates at all levels
  • Ability to independently manage multiple complex projects simultaneously in a deadline-driven environment
  • Languages: Excellent written and verbal communication skills; with proficiency in English (and preferably Mandarin/Cantonese)
