ESSENTIAL FUNCTIONS:
- Communicate with patients and schedule patient appointments, including confirming future appointments and completing phone confirmations for next-day evaluations.
- Communicate visit costs to patients and explain insurance benefits as needed.
- Collect patient payments and complete end-of-day visit totals and batch collections.
- Communicate with rehabilitation staff and therapists as needed to clarify referral requests and scheduling needs.
- Collect and verify patient demographic and insurance information, prepare intake packets for the following day, and scan documents into the EMR as needed.
- Assist the Rehabilitation Front Office Supervisor with special projects as assigned.
- Answer incoming Rehabilitation Department phone calls and monitor incoming faxes.
- Assist in maintaining department goals related to quality patient care, patient satisfaction, and treatment compliance by addressing patient needs and requests within the scope of the position.
- Manage patient cancellations according to department protocol, including filling available appointments from the wait list.
- Assist with creating new patient charts.
- Confirm completion of DME Proof of Delivery and ABN documentation.
- Schedule required progress notes as they become due.
- Maintain patient confidentiality in accordance with departmental policies and applicable regulations.
- Provide coverage at other clinic locations as needed based on staffing and operational needs. This position may require floating between locations to support adequate front office coverage.
The job holder must demonstrate and maintain current competencies required for the position.
Requirements
EDUCATION:
High school diploma or GED required. Bachelor’s degree preferred.
EXPERIENCE:
One year of experience in out-patient rehabilitation preferred.
KNOWLEDGE:
- Knowledge of computer systems and EMR software.
- Knowledge of phone systems.
- Knowledge of rehabilitation terminology and insurance/payor rules and regulations.
- Knowledge of referral processes and patient eligibility
SKILLS:
- Skill in effectively communicating with patients and staff.
- Skill in using a computer system/EMR.
- Skill in accurate documentation of work.
ABILITIES:
- Ability to establish/maintain effective working relationships with patients, providers and staff.
- Ability to communicate clearly in verbal and written form.
- Ability to be a resource to patients and staff.
ENVIRONMENTAL/WORKING CONDITIONS:
Normal office environment. Some travel within community.
PHYSICAL/MENTAL DEMANDS:
Requires sitting and standing associated with a normal office environment. Some bending and stretching required. Manual dexterity using a calculator and computer keyboard. Ability to lift 25 lbs. Demands of occasional kneeling, squatting, and overhead lifting.
ORGANIZATIONAL REQUIREMENTS:
