Responsibilities
Job Summary
Transportation manager is responsible for directing and overseeing transportation-related operations within an organization. The duties include managing staff that assists with transportation activities. Manage and supervise administrative team members and ensure that daily office operations are performed in a seamless and efficient manner.
Duties and Responsibilities:
- Plans and monitors system and schedule to assure adequate and appropriate staff coverage for departmental functions.
- Plans and monitors a proactive vehicle maintenance program assuring cost-effective and safe operation.
- Plans and monitors ongoing staff communications and training and assures optimal performance.
- Monitors staff performance including use of resources, over time, and customer complaints.
- Drives when necessary and complies with all traffic regulations
- Manages house account payout system, assuring the accuracy of receipts and adequate replenishing of funds through accounting.
- Tracks and verifies Discharge and Arrival information to confirm transportation log is correct.
- Provides various daily and monthly reports.
- Maintains a professional appearance and demeanor.
- Monitors vehicle’s fuel and cleanliness to provide professional vehicle appearance and travel efficiency.
- Compose correspondence, gather reports, and prepare a presentation as requested.
- Ensure front desk operations including screen calls and visitors to control interruptions and receptionist duties.
- As directed by Director, coordinating and monitor day to day operations including client appointments, transportation, milieu monitoring by TA’s, client requests, client sign-in sheets, vehicle maintenance and logs, and maintenance issues.
- Responsible for assisting in the scheduling of team and individual meetings.
- Monitor and order program and office supplies; track and distribute appropriately.
- Maintain office security by opening and locking the building
- Maintain CARF safety manual and schedule/assist in Safety Drills
- Collect and distribute client and program mail.

Qualifications
Education/Experience:
- Associate degree, or related field preferred. Equivalent combination of education and experience.
- Two years’ administrative assistant experience
- Two years’ collections experience
- Ability to maintain confidentiality
- Advanced ability to read and interpret written information; write clearly and informatively; edits work for spelling and grammar. Ability to speak clearly and persuasively in positive or negative situations; listens and gets clarification; responds well to questions; demonstrates group presentation skills; and participates in meetings.
- Advanced knowledge of Microsoft Word, Excel, and Outlook
