The school of Nursing & Health Studies has an outstanding opportunity for a Health & Safety and Events Program Coordinator 9Program Coordinator (NE S SEIU 925 Non Supv)) to join their team.
The salary information provided below is for a full-time position and will be prorated for this part-time, 50% FTE opportunity.
About this Opportunity:
Reporting to the Director of Academic Services, the Health & Safety and Events Program Coordinator serves a critical role in SNHS. This role will support projects working directly with the Administrator, Associate Deans, Graduate Program Advisor, Assistant to the Dean, and Director of Nursing. This role will also partner with the Curriculum and Fiscal Program Coordinator supporting cross training opportunities on critical work.
This position will be expected to exercise independent judgement in interpreting and applying rules and regulations, including independently advising students on compliance requirements and providing guidance to staff and faculty on School policies, procedures, and activities.
Excellent communication skills to interact with a variety of students, faculty and staff, along with the ability to manage multiple, complex, deadline-driven processes under time pressure are crucial for success in this position.
Key Responsibilities:
General Administrative Support (50%)
- Coordinate and support administrative and operational processes, exercising discretion and maintaining confidentiality when handling personnel, student, and organizational information.
- Serve as the primary point of contact for SNHS event planning and execution, including securing food approvals in accordance with UW guidelines, coordinating room reservations and setup, managing event budgets, arranging catering, and overseeing communications and invitation lists.
- Order and maintain event-related supplies and provide on-site coordination to ensure successful event delivery.
- Performs ProCard holder responsibilities, ensuring all purchases comply with UW procurement policies and are accurately reconciled within required timelines.
- Support for SNHS events, including but not limited to: SNHS Retreat, Graduate Symposium, Graduation Celebration, Sigma Theta Tau, Admitted Students Day, Capstone Orientation, Graduate Student Welcome, Faculty Searches, and Pathways Week.
- Build an expertise and act as a resource on tools across teams and processes, including Microsoft 365 products (SharePoint, One Drive, Forms, Planner), Canvas, Workday, CastleBranch and Time Scheduler tools.
- Maintain electronic program files in accordance with UW records retention policies and AACN accreditation standards.
- Maintain school level data and information such as student tracking, UW group lists, etc.
- Reception coverage for school operations supporting students, faculty and staff inquiries as needed.
- Assist with the scholarship selection process as needed.
- Cross train with the Curriculum and Fiscal Program Coordinator on critical operational tasks such as time schedule management and fiscal point person responsibilities.
- Perform other related duties as assigned to support the goals and operations of the School. Responsibilities may evolve based on programmatic needs and institutional priorities.
Health & Safety Coordination (50%)
- Support and serve as the main point of contact for Health & Safety compliance.
- Facilitate the onboarding process, including background checks, presenting information at new student orientation, nursing licensure verification for students and faculty, student coding, file and compliance management, and maintenance of paper and electronic records in accordance with UW guidelines and retention policies. Responsibilities also include data tracking and entry, and ensuring credit-by-examination is granted for NCLEX passage.
- Coordinates Health and Safety requirements for nursing programs, ensuring timely and accurate communication with students through the website and written materials. Oversees compliance by monitoring deadlines, tracking student progress, and providing regular updates to nursing advisors and students. Reviews and updates requirements annually and presents Health and Safety information to newly admitted and continuing students preparing for fieldwork.
- In partnership with the Director of Nursing, fieldwork faculty, and community partners, coordinate the petition/waiver process for students who need exceptions.
Required Qualifications:

Minimum Qualifications:
- High school graduation or equivalent AND two years of experience in healthcare or academic program administration, clinical coordination, student services or a related field.
