Overview
As a member of the Yale Conferences & Events (YC&E) department and reporting to the Assistant Director of Venues, the Senior Manager of A/V and Technology will manage all technology aspects of the daily operations and events at YC&E managed venues, and support the greater technology needs of YC&E. The Senior Manager of A/V and Technology will interface with all Yale departments which utilize YC&E exclusively managed space for the purpose of meetings and events. This position may encounter highly confidential information in the course of their duties. The SMAT will ensure a high level of support services and project management which will directly contribute to productive meetings and events for university partners as well as impact the financial viability of all spaces exclusively managed by YC&E and the greater YC&E department.
1. Manage all aspects of technology and audio-visual needs for revenue-generating programs, fortifying client relationships that enhance Yale’s academic and financial mission, and identifying operational solutions that reduce overhead cost while producing greater operational efficiencies.
2. Initiate and develop technology aspects of a conference, event or program budget, and work with the client to evaluate the appropriate price structure while managing interactions with internal and external service providers. Advise clients regarding line item expenses and ensure that funding sources are sufficient to cover the program budget. Create final forecasts, reconcile budgets for invoicing and ensure all charges are accounted for, accurate and explained properly.
3. Directly responsible for interfacing with potential and current revenue generating programs and events at all spaces exclusively managed by YC&E. Schedule and attend site visits and provide subject matter expert consultation related to technology and productivity of excellent meetings and events. Balance competing priorities to meet all program requirements in a timely manner and deliver quality results.
4. Manage comprehensive onsite day of support of all audio visual and technology needs for events at Kline 14, Greenberg Conference Center, bookable Betts House spaces, and any other spaces exclusively managed by YC&E. These duties include but are not limited to: audio support, projector and display support, hybrid event support and other needs.
5. Manage day to day activities of contracted employee to provide A/V support onsite at YC&E venues. Responsible to training and development of staff to meet and/or exceed Yale and YC&E standards of support at events. Manage scheduling, staffing and support models for fiscal efficiency and high-level of service support.
6. Provide a high level of customer service to guests and clients of YC&E Managed Venues, ensuring that respect, responsiveness, and professionalism is demonstrated. Ensure that the experience of clients and guests meets Yale's standard of excellence.
7. Interface with campus partners to include but not limited to: Yale ITS, Broadcast Media, Yale Network, and external vendors for quarterly equipment walkthroughs, stakeholder meetings and planned technology upgrades.
8. Manage service level agreements, contracts and details with external service providers involving audio-visual and technology support to the building. Cultivate and develop beneficial relationships with internal and external service providers and organizations. Communicate department’s on-going program activity to other Yale departments and community that may be affected.
9. Manage upgrade schedule and preventative maintenance schedule for buildings for specialized technology, and audio-visual equipment on a 5-year basis.
10. Support greater technological needs of YC&E events in spaces not exclusively managed by YC&E. Interface with event planners, venue operators and external venues and contractors to provide high-level of service and Yale’s standard of excellence.
11. Manage all aspects of technology for the greater YC&E Department including software, hardware and software upgrades for event support. Manage inventory of existing and new technology within department. Recognize, order and manage new technology as dictated by departmental needs.
12. Manage yearly technology onboarding process for YC&E Intern class and new departmental hires. Liaise with DSP for deployment of laptops, desktops and other new and existing technology as needed.
13. Provide support for YC&E Summer programs in classrooms through daily equipment checks and liaison with Yale Classroom Support regarding upgrades, offline classrooms and long term summer planning
14. Consult with Yale Facilities, Yale A/V Systems Design and external contractors for construction projects with A/V systems on Yale’s campus. Provide expertise for new and retrofitted event spaces.
15. Provide dedicated Audio-Visual support for confidential high-level meetings throughout campus to include but not limited to: Office of the President meetings, Yale Corporation meetings, University Council Meetings, University Cabinet meetings and YNHHS Board meetings. Provide ongoing feedback to central ITS on A/V needs for primary stakeholders and end users on campus. 16. Work with department leadership to propose new business models and potentially pilot new initiatives which could enhance Yale’s revenue potential and increase level of services offered.
17. Utilize Cvent, Salesforce, Zoom, QSC software and additional systems as needed to support event management in YC&E managed venues.

Preferred Skills and Abilities
1. Experience in a for-profit setting; advanced knowledge of events and venue management industry. Familiarity with YC&E programs.
Principal Responsibilities
1. In support of the overall mission, plans, directs, and oversees programmatic activities. Assumes primary accountability for disseminating and publishing all program information to create public awareness and support of the program. 2. Works closely with leadership, internal and external colleagues, and community residents to further develop and implement strategic plans. 3. Oversees the development of detailed plans and successful implementation of projects in concert with stakeholders. 4. Works closely with business analysts, technical professionals, end users, and project stakeholders during the requirements, solutions design, and implementation phases to develop detailed project plans for implementation. 5. Oversees and trains all student employees and summer program staff. 6. Develops the administrative infrastructure of the program that supports the strategic direction of the program from leadership. Oversees human resource and administrative functions of the program. 8. Investigates, identifies, implements, and oversees the maintenance of systems to gather, track and report information to support the initiatives of the program. Tracks all program activities and regularly informs leadership of progress on each initiative. Recommends structural or programmatic adjustments, changes or additions based on full knowledge of missions, goals and objectives. 9. Works on risk assessment, communication planning, and program entry criteria. 10. Create detailed project plans, including timelines, budgets, and resource allocation, to ensure the successful completion of the project. 11. Manages client expectations and provides issue/risk identification and escalation pathways. 12. Analyzes user needs and proposes new training programs or systems. 13. Designs, develops, and executes communication systems to ensure effective exchange of information between project stakeholders, senior management, and staff.
