POSITION SUMMARY:

The Director, Financial Planning & Analysis, leads the financial planning, reporting, tax coordination, and investment administration functions for the family office. This individual serves as the principal financial point of contact for the family, overseeing recurring reporting cycles, tax strategy execution, investment diligence and administration, and supporting estate and wealth transfer planning in close partnership with outside tax, legal, and investment advisors.

The ideal candidate is a self-starter with expertise across financial planning, tax, and investment administration, capable of managing complex and highly confidential information while driving process improvement. This role requires exceptional attention to detail, sound financial judgment, and the discretion to manage sensitive personal financial matters directly with the family's principals and outside advisors.

RESPONSIBILITIES

Financial Reporting & Cash Management (Approx. 25%):

  • Oversee preparation and review of recurring reporting deliverables, including weekly consolidated cash reporting, monthly unfunded-commitment reporting, and quarterly net asset and investment schedules across all reporting entities
  • Direct the build and maintenance of the 10-year financial projection model, including the bridge reconciling projections to the weekly cash position
  • Manage the annual budgeting cycle and monthly budget-to-actual reporting, providing high-level review and commentary for principal review
  • Oversee quarterly reporting for family trusts and related entities, and coordinate monthly and inception-to-date reporting for donor-advised fund activity
  • Respond to and manage ad hoc financial reporting requests as they arise

Tax Strategy & Compliance (Approx. 20%):

  • Own the quarterly estimated tax payment process, working directly with outside tax advisors to determine current-quarter payments and revise full-year forecasts; review and approve recommendations before submission to principals
  • Maintain and review the annual tax summary model, ensuring it reconciles to underlying K-1 and entity-level trackers
  • Lead the annual tax return review process: populate and validate draft return data against the tax model, identify variances, and manage resolution with outside preparers

Investment Management Support (Approx. 20%):

  • Lead diligence coordination on new investment opportunities: circulate data room materials, evaluate commitment timing and constraints, assess qualified small business stock (QSBS) eligibility, and determine appropriate investing entity structure, including use of blocker entities
  • Manage execution of new investments, including submission of indications of interest, coordination of legal review, and completion of subscription documentation
  • Ensure consistent attendance and note-taking at existing portfolio company and manager update calls/meetings, with timely circulation of summaries
  • Review monthly liquid manager performance reporting
  • Evaluate and make recommendations on discrete investment decisions, tracking performance against relevant benchmarks

Estate & Wealth Transfer Planning Support (Approx. 15%):

  • Partner with estate counsel and principals to plan and execute estate documentation changes, including trustee and beneficiary updates and trust restructurings, including any required financial modeling
  • Prepare materials and agendas for principal planning meetings; maintain supporting asset-change summaries and meeting documentation
  • Model proposed estate and gifting strategies and present options to principals to support decision-making
  • Review annual estate plan models and periodic estate plan summary presentations prepared by other team members
  • Oversee administrative execution of estate vehicles
  • Coordinate the transfer of legal ownership of assets into current trust structures across accounts and investments, including required legal review
  • Track and review annual life insurance policy performance and premium payment recommendations in coordination with outside brokers

Gifting & Lifetime Exemption Planning (Approx. 10%):

  • Maintain tracking of remaining lifetime gift and generation-skipping transfer (GST) exemption for each principal, updating as taxable gifts occur
  • Coordinate annual education-savings (529/UTMA) funding recommendations and update tracking based on actual contribution activity
  • Prepare the annual gifting overview summarizing gifting completed to date and remaining opportunities ahead of year-end
  • Compile underlying data for annual gift tax returns, review draft returns for accuracy against source files, and obtain required legal sign-off before filing

Credit Facilities (Approx. 5%):

  • Manage external lines of credit, including covenant compliance preparation, collateral monitoring, market comparison ahead of renewals, and negotiation of terms
  • Oversee internal intra-family loan and line-of-credit tracking, ensuring draws and interest payments are applied and recorded correctly

Special Projects & Other (Approx. 5%):

  • Evaluate financing options and monthly carrying costs for major family purchases (e.g., real estate) and recommend optimal funding structures
  • Administer entity-level investment vehicles, including tracking interest payments and coordinating with property/investment managers on tax payments and cash sweeps
  • Take on additional special projects and analyses as directed by principals

COMPETENCIES:

  • Strong analytical and modeling capabilities with the ability to synthesize complex financial, tax, and legal information into actionable recommendations.
  • Excellent communication skills and comfort working directly with principals, outside counsel, and third-party advisors.
  • High attention to detail with a demonstrated ability to manage multiple concurrent workstreams and deadlines.
  • Strong leadership presence, with the ability to work independently and exercise sound judgment on sensitive matters.
  • Exceptional discretion in handling highly confidential personal and financial information.
  • Proactive and adaptable in a dynamic, relationship-driven environment.

REQUIREMENTS/QUALIFICATIONS:

  • Bachelor's degree in finance, Accounting, or a related field; CPA, CFA, or MBA preferred.
  • 8+ years of progressive experience in a family office, private wealth platform, alternative investment manager, public accounting firm, or related financial services environment, ideally supporting high-net-worth individuals and families
  • Demonstrated experience leading complex financial planning, forecasting, liquidity, and executive reporting processes; advanced financial modeling skills required.
  • Strong technical grounding in personal and entity-level tax concepts, trust and estate structures, and investment fund mechanics (capital calls, K-1s, QSBS, blocker entities).
  • Experience with Anaplan, Investran, and PowerBI is a strong plus.
  • Advanced Microsoft Excel skills and demonstrated financial modeling experience, including long-range projection models.
  • Proven experience coordinating with outside advisors (tax, legal, investment) and managing complex, cross-functional workstreams to completion.

For Massachusetts: The base salary range for this position is [$205,000 - $235,000]. The base salary range represents the estimated low and high end for this position at the time of this posting. Consistent with applicable law, compensation may vary and will be determined based on but not limited to, the skills, qualifications, and experience of the applicant along with the requirements of the position, and Audax reserves the right to modify this pay range at any time. An employee may also be eligible for annual discretionary incentive compensation based on performance.
