Job Summary and Responsibilities
As our HIM Operations Team Lead, you will provide leadership, coordination, and technical expertise for daily Health Information Management operations, serving as a bridge between frontline HIM staff and department leadership.Every day you will coordinate HIM activities, support staff, monitor work queues, and resolve operational issues to keep workflow efficient, data accurate, and records processed on time. You will be expected to maintain proficiency in core HIM duties so you can provide flexible coverage and support while ensuring compliance with regulations and productivity and quality standards.To be successful in this role, you must bring strong HIM technical expertise, leadership ability, and a commitment to high-quality patient record management.
- Conduct orientation, shadowing, and continuing education for new and existing HIM staff members. Provide constructive feedback to the HIM Supervisor on staff performance and the progress of new hires. Serve as the primary point of contact for staff assistance, escalating unresolved or problematic issues to leadership as needed.
- Provide comprehensive first-line support for user and system issues, efficiently guiding staff through Help Desk ticketing processes and maintaining ownership until resolution or management intervention is required. Coordinate daily work schedules and provide flexible coverage to ensure adequate staffing and critical task coverage for all HIM functions, including stepping into designated staff roles during emergent situations or multiple staff absences.
- Mentor and support HIM Tech/Specialist staff in mastering HIM applications and workflows. Monitor all HIM work queues, daily scanning deadlines, and backlogs to proactively identify and address areas requiring additional attention, ensuring compliance with deadlines and regulatory requirements.
- Oversee and manage daily document rounding processes. Manage the scanning error form process to maintain data integrity and workflow efficiency.
- Assist with quality reviews of scanned records to ensure compliance with established standards. Schedule and manage the weekly Phone Tree Calendar, reconciling it with the PTO calendar for optimal staffing and communication. Ensure all HIM productivity is accurately reported bi-weekly for the department dashboard, covering all departments and specific work functions (e.g., WC & EC Scanning/Analysis/WC & EC ROI).
- Maintain proficiency in all HIM Specialist and Tech job duties, including customer service, to provide effective support and coverage.Demonstrate and maintain proficiency in all specific HIM applications (e.g., EMR, document management systems) and Google Workspace applications (Docs, Sheets, Slides, Gmail, Calendar) to facilitate seamless operations and support staff effectively.
Job Requirements
Required
- High School Graduate or GED
- Two (2) years experience working with medical records, preferably in an acute care Health Information Management environment
- Proficient in medical terminology
- Knowledge in health care compliance, particularly HIPAA privacy, and confidentiality laws, access and release of information.
- Excellent interpersonal skills and the ability to effectively communicate verbally and in writing providing excellent customer service.
- Excellent organizational skills with the ability to multitask and handle multiple priorities/tasks simultaneously in a fast-paced environment
- Basic computer literacy and proficiency in Microsoft and/or Google Workspace.
- Electronic Medical Record (EMR) experience preferred; Cerner and/or Epic strongly preferred.
Preferred
- Completion of a HIM equivalent study course.
