Job Description:
Parsons is looking for an amazingly talented Document Control Manager to join our team! The Document Control Manager will lead and manage document control requirements across the Residential Business Unit, ensuring that project information is accurately controlled, securely managed, readily accessible, and issued in accordance with company procedures, contractual obligations, and project governance standards.
The role will establish and maintain robust document control processes across multiple residential projects, working closely with project teams, consultants, contractors, clients, and internal stakeholders. The successful candidate will be responsible for driving consistency, compliance, and efficiency in the management of project information throughout the project lifecycle.
What you'll be doing:
Lead the document control function across the Residential Business Unit and provide direction to project-based document control teams.
Develop, implement, and continuously improve document control procedures, workflows, templates, and standards.
Manage the setup, configuration, and administration of Oracle Aconex across residential projects.
Ensure Aconex is used consistently and effectively for document registration, transmittals, workflows, correspondence, approvals, and reporting.
Establish document numbering, naming conventions, revision control, metadata, permissions, and distribution protocols.
Maintain accurate registers for drawings, specifications, submittals, RFIs, technical queries, approvals, correspondence, contracts, and other project records.
Monitor document status, outstanding reviews, approvals, responses, and overdue actions.
Ensure all project documentation is issued, received, reviewed, approved, superseded, archived, and retrieved in accordance with approved procedures.
Lead document control audits and compliance reviews, identifying risks and implementing corrective actions.
Coordinate the handover of complete and accurate project records, including operation and maintenance documentation, as-built information, warranties, certificates, and closeout records.
Provide training, guidance, and support to project teams and external stakeholders on document control processes and Aconex requirements.
Produce regular document control reports, dashboards, and performance metrics for senior management.
Work with information management, commercial, design, construction, quality, and project management teams to ensure effective information flow.
Support the development and implementation of information management and digital delivery standards.
Ensure document control activities comply with company policies, project requirements, applicable legislation, and contractual obligations.
Identify opportunities to improve efficiency through standardisation, automation, and best-practice document management.
What required skills you'll bring:
Minimum 10 years’ experience in document control, information management, or project records management within the construction, property development, engineering, or real estate sectors.
Proven experience managing document control across major residential, commercial, or mixed-use development projects.
Advanced and practical experience using Oracle Aconex is essential.
Experience establishing and managing Aconex environments, workflows, registers, permissions, transmittals, and reporting.
Strong understanding of document control principles, revision management, workflows, approvals, and project correspondence.
Experience leading or managing document control teams.
Demonstrated ability to develop and implement document control procedures and standards.
Strong understanding of project delivery processes from design through construction, handover, and closeout.
Excellent organisational, communication, coordination, and stakeholder management skills.
High level of attention to detail and the ability to manage large volumes of information accurately.
Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
Ability to work independently, prioritise competing demands, and meet deadlines in a fast-paced project environment.
What desired skills you'll bring:
Experience working within a residential developer, main contractor, property group, or project management consultancy.
Knowledge of BIM, Common Data Environments, ISO 19650, or broader information management standards.
Experience with project management, design management, procurement, or construction management systems.
Relevant qualification in document management, information management, construction management, business administration, or a related discipline.
Experience managing project handover and operational readiness documentation.
