What You Will Do as a Data Clerk:
As a Sourcing Data Entry Clerk, your primary responsibility is to accurately input and maintain various types of data into computer systems and databases from outsourced manufacturing facilities. You will play a crucial role in ensuring the integrity and reliability of data by performing tasks such as data verification, data cleaning, and data organization. Your attention to detail and ability to work efficiently will contribute to the overall efficiency and effectiveness of the organization.
How You Will Make a Difference:
•Enter, update, and maintain data in electronic formats, spreadsheets, databases, or other designated systems of inventories, incomes and outcomes of raw materials for the different outsourced manufacturing plants. Ensure accuracy and completeness of the entered information.
•Perform the platform or software the company will be using for data entry. This could be a spreadsheet application like Microsoft Excel, a database management system like AS400, or a specialized software designed for plant management and data entry.
•Review and verify data for errors, inconsistencies, or missing information. Perform necessary research or contact relevant sources to validate and resolve discrepancies.
•Identify and correct inaccuracies, duplicate entries, and formatting issues within the data. Conduct data quality checks to ensure compliance with established standards.
•Sort and organize data in a logical and structured manner to facilitate easy retrieval and analysis. Maintain proper filing systems and adhere to established data management procedures.
•Maintain strict confidentiality of sensitive information and adhere to data protection regulations. Ensure data security measures are followed to prevent unauthorized access or data breaches.
•Establish a process for ongoing data maintenance, including regular reviews and updates.
•Generate reports, summaries, and statistical analyses based on the entered data. Prepare and present data findings as required by supervisors or team members. This can help in decision-making, monitoring plant performance, and tracking key metrics.
•Collaborate with team members, supervisors, or other departments to clarify data requirements, resolve issues, and ensure data accuracy. Communicate effectively and professionally in verbal and written forms.
•Prioritize tasks and manage workload to meet deadlines and ensure timely completion of data entry assignments. Multitask effectively while maintaining a high level of accuracy.
•Develop and maintain Power BI dashboards, Excel reports, and other analytical tools updated to improve visibility of sourcing and production performance.
•Run Production and Materials specifics reports for Sourcing team.
•Identify opportunities to automate and standardize reporting processes, reducing manual work and improving data accuracy.
Skills for Success
•High school diploma or equivalent.
•Proven experience in data entry or administrative roles with a strong focus on accuracy and attention to detail.
•Proficiency in using computer applications such as spreadsheet software (e.g., Microsoft Excel), databases, and data management systems. Including data entry, sorting/filtering, formulas, and basic data analysis.
•Excellent typing skills and familiarity with data entry tools and techniques (e.g., keyboard shortcuts, data validation).
•Strong organizational and time management skills to handle large volumes of data and meet deadlines.
•Ability to maintain confidentiality, handle sensitive information responsibly, and adhere to data protection regulations.
•Good communication skills and ability to collaborate effectively with team members and stakeholders.
•Basic knowledge of data analysis and reporting concepts is desirable but not mandatory.
•Knowledge of Power BI or other reporting/analytics tools.
•Experience working with ERP, purchasing, production, or supply chain systems is preferred.
