Overview
The Receptionist serves as the first point of contact for families, visitors, and staff at the afterschool program. This role provides excellent customer service, administrative support, and ensures the smooth daily operation of the program’s front desk. The ideal candidate is organized, professional, and enjoys working in a child- and family-centered environment.
Responsibilities
- Greet, and assist parents, students, staff, and visitors in a welcoming and professional manner.
- Maintain accurate sign-in/sign-out logs for students, visitors, and staff.
- Communicate important messages between families and program staff in a timely manner.
- Assist with daily attendance tracking and reporting.
- Support the Program Director with filing, photocopying, data entry, and document preparation.
- Help maintain student files, enrollment forms, and other required documentation in compliance with licensing and DYCD/DOH regulations (if applicable).
- Maintain front office supplies and ensure materials are organized and readily available.
- Support coordination of parent communication, newsletters, and event notices.
- Assist with scheduling parent meetings, trainings, or site events.
- Help ensure all visitors follow safety and security procedures.
- Provide general support to program staff as needed, especially during student arrival and dismissal period.
- Excellent customer service and teamwork skills.
- Strong organizational and time-management abilities.
- Detail-oriented with the ability to multitask in a busy environment.
- Positive attitude and commitment to supporting youth development and family engagement.
Qualifications
- High school diploma or equivalent (some college credits preferred).
- Minimum of 1–2 years of administrative or front-desk experience.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic data entry.
- Ability to always maintain confidentiality and professionalism.
- Experience working in a school, youth, or afterschool program setting.
- Familiarity with DYCD Connect, attendance systems, or similar software.
- Bilingual (English/Spanish or other language) a plus.
