This position is eligible for a hybrid work model. When attending an event or meeting in person, your primary office location will be based out of City Hall – 426 Brant Street. Work location is subject to change at the discretion of the City due to operational demands. Effective September 2027 this role will be required to be on site 50% of the time each month.

Position Overview

Reporting to the Manager, Festivals and Events, this position supports third party event organizers hosting events on public property and works with a team of staff to deliver city lead events including Canada Day and the Santa Clause Parade. The role provides advice and guidance in all aspects of event planning and liaises with City departments, Regional and Provincial agencies, and stakeholders to secure required permits and approvals, ensuring compliance with applicable municipal regulations and standards.

Responsibilities

This position is responsible to:

  • Plan, coordinate and deliver municipal events with a team, ensuring successful execution from concept to post-event evaluation

  • Manage multiple event portfolios simultaneously, prioritizing workloads, meeting deadlines, and adapting to changing operational requirements.

  • Serve as the primary contact for third-part event organizers, coordinating with City, Regional and Provincial departments and agencies to secure required approvals, permits, and clearances, ensuring all events comply with applicable municipal bylaws, provincial legislation, and organizational policies.

  • Review contracts and agreements in collaboration with Legal Services & Risk Management, and support the resolution of contractual, operational, and compliance-related issues.

  • Collect and communicate post-event feedback from stakeholders and organizers, identify opportunities for improvement and contribute to Council reports.

  • Monitor event budgets in Workday. Process invoices and payment requests and ensure purchase card verification requirements are met. Support event marketing and communication by coordinating updates to City website content  and ensuring timely promotion of City-lead events.

  • Duties and responsibilities are inclusive but not limited to the above.

Requirements

The Advisor, Festival and Events require completion of a College Diploma in Event Management, Tourism Management, Communications or Marketing, Cultural Planning or a related field and at least two (2) years of experience in planning and delivering community-based festivals and events. Experience in a municipal setting is preferred. Applicants require strong interpersonal, communication, organization, administrative and event planning skills.

A valid G Class driver’s license is required with an acceptable driver’s abstract (no more than three (3) driving related convictions or an accumulation of no more than three (3) demerit points in the previous three (3) years prior to the date of hire), and/or no administrative driver license (ADLS) suspensions.
