We are seeking a customer-focused individual for a full-time Office Assistant I role in the Administration Department. The ideal candidate will demonstrate high emotional intelligence and strong customer service skills, as this position works closely with executives, dignitaries, elected officials, and addresses citizens' concerns.
The Office Assistant I performs a variety of routine clerical support functions in various City offices. Assignments are limited in scope and may include receptionist duties, typing, word processing, using simple spreadsheets, data entry, simple report preparation, record keeping, and filing.
Depending upon assignment, essential duties may include, but are not limited to the following:
Serves as receptionist, answers phones, takes messages or refers calls, greets, screens and refers visitors; answers general questions, referring more complex or technical questions to others; completes forms or documents from information provided by visitors.
Types correspondence, forms, lists, cards, address labels on typewriter or word processor. Edits, proofreads and corrects materials for completeness and accuracy. Composes routine correspondence.
Prepares, sorts and files correspondence, documents, and other materials, maintains computer or hard copy files, accesses files or locates materials by conducting file searches. Makes copies of documents, forms or other materials.
Maintains logs, spread sheets, inventories or records by transferring data manually or by computer; calculates totals and subtotals; completes forms.
Receives, routes and distributes mail or other materials.
Conducts and maintains inventory of supplies, equipment or parts.
Operates a variety of standard office equipment including computers, copiers and facsimile machines.
Assists with special events sponsored by departments or the City. Delivers/picks up items when requested. Provides back-up to other office employees in department.
Knowledge of: general office methods and procedures;
Skill in: the operation of office equipment, including operation of a computer or typewriter at 40 wpm net.
Ability to: use correct English grammar, punctuation, and spelling; alphabetize, numerically or chronologically sort materials; receive the public in person or over the phone; establish and maintain cooperative working relationships.
Education and/or Experience
Any combination of education and/or experience has provided the required knowledge and abilities. Example combinations include:
Graduation from high school or equivalent and six months of related work experience.
Special Requirements
Depending upon assignment, possession of or ability to obtain an appropriate California driver's license, and a satisfactory driving record, may be required.

While performing the duties of this job, an incumbent is regularly required to use hands to finger, grasp, feel, use repetitive motions in order to operate office equipment. Incumbents are frequently required to sit, talk and hear. Incumbents are very occasionally required to stand, walk, stoop, kneel, crouch or reach.
Incumbents perform sedentary work. Specific vision abilities required by these positions are those required to perform office machine operations. There is an occasional need to lift up to 25 pounds.

Incumbents are not substantially exposed to adverse environmental conditions.
