Now Hiring: Outpatient Office Manager – Jacksonville, FL

Full-Time | Jacksonville, FL | South Duval — Outpatient Program

Are you the organized, people-first presence that keeps a busy clinical office running smoothly? Do you take pride in making every family who walks through the door feel welcomed and taken care of?

We’re looking for a detail-oriented Outpatient Office Manager to lead the administrative side of our outpatient program — from the front desk to insurance verification to client flow. You’ll supervise front-office staff, keep daily operations efficient, and serve as the office’s insurance liaison, helping make sure clients and families get the support and funding they need.

What You’ll Do:

  • Oversee daily office operations, keeping systems efficient and ensuring excellent customer service for clients, families, and visitors.
  • Supervise the Administrative Assistant and ensure front-desk coverage, tasks, and deadlines are met.
  • Serve as the office’s insurance liaison — verifying funding sources, insurance eligibility, and copay amounts, and helping families without insurance secure alternative funding.
  • Manage the admissions and pre-admit process in the EHR, including intake packets, authorizations, and chart compliance.
  • Support the flow of client visits, from check-in and vitals to scheduling next appointments.
  • Maintain accurate records, oversee secure chart storage, and manage petty cash and weekly reporting.
  • Resolve front-office and client concerns with tact and diplomacy, involving the Licensed Clinical Supervisor or Program Director when necessary.
  • Step in to assist with administrative duties as needed and complete additional tasks assigned by your supervisor.

Requirements

Education and Experience:

  • A high school diploma and at least two years of office experience providing customer service and clerical support.
  • Intermediate computer skills, including typing at least 45 WPM and proficiency with Microsoft Office and an electronic health record system.
  • Adult and Pediatric CPR/AED and First Aid certification (required at the discretion of the Supervisor or Program Director).
  • Level 2 clearance from DCF Clearinghouse required - https://info.flclearinghouse.com

Preferred Experience:

  • Previous work in a medical setting.
  • Paid experience working with children and their families.
  • Experience with billing or working with insurance.
  • Bilingual (Spanish) preferred.
