Order Processing Specialist

The Customer Service Specialist executes order-to-cash processes, resolves customer and order-related issues through proactive customer communication and maintains transaction integrity to ensure reliable fulfillment of customer orders throughout the order lifecycle.

Main Responsibilities & Tasks

• Process customer orders by ensuring accurate entry, timely updates and compliant handling across ERP & CRM systems throughout the order lifecycle to secure revenue realization
• Resolve customer enquiries, complaints, commercial clarifications and order-related issues, including delivery escalations and payment-related order blockers, by investigating underlying causes and collaborating with Sales, Supply Chain, and Finance to coordinate the required follow-up actions to reduce the commercial impact of service failures
• Monitor delivery dates, backorders, delays, returns, blocked orders and shipment issues by identifying deviations, coordinating required logistics activities and providing proactive customer communication on impacts and alternatives to minimize disruption to customer operations
• Maintain accurate customer, order and contractual data and prepare standard operational and customer complaint reports by verifying data completeness and correcting identified discrepancies to ensure adherence to customer and commercial commitments

Qualification & Skills

• Completed commercial vocational training or comparable education
• 2+ years of experience in customer service, order processing or order-to-cash operations
• Understanding of order-to-cash processes
• Service-oriented, detail-focused & structured collaborative working approach
• Strong coordination, communication & prioritization skills
• Native-level Japanese (spoken and written) 

• Intermediate-level English (spoken and written)
