The Administrative Coordinator provides overall administrative support to the Division of Hospital Medicine and Department of Medicine Administration. The Administrative Coordinator assists in maintaining the division calendar, and provides overall support for the Division Chair, hospitalists and APCS. Maintains all files related to division meetings and other hospital committee meetings. This position will also serve as a backup to other Department Coordinators during time off and will be assigned to various projects in the Department related to improving patient access. This individual will interact with other physicians, administrators, patients, and external organizations within the Division of Hospitalist Medicine at Jefferson Einstein Hospital and within the Enterprise. The Administrative Coordinator has responsibility for special projects as assigned.Job Description
Essential Functions:
- Enter and track all moonlighting requests. Reviewing for accuracy.
- Maintain all provider schedules via SharePoint, AMION, Qgenda or other applicable applications.
- Facilitate meetings, maintain documents, and minutes as required.
- Prepare data and slides for meetings as needed.
- Enter all check requests and reimbursements. Maintain tracking spreadsheets to adhere to budget.
- Assist with new provider onboarding and maintain current files.
- Daily charge reconciliation.
- Run various administrative and financial reports as directed.
- Orders supplies and equipment as needed.
- Provide backup coverage for other coordinators as deemed necessary.
- Work on various ambulatory access projects for the Department under the direction of the Department administrative team.
Education and Experience Requirements:
- High School diploma or GED required.
- 3 + years related experience required.
- Associated degree or some college preferred.
- Familiarity with clinical department operations.
- Computer literate, and knowledgeable in MS Word, MS Excel, MS PowerPoint and medical terminology.
- Knowledge of EPIC helpful. Individual must be able to work independently and with minimal supervision, demonstrate initiative, establish work priorities, and must be detail oriented.
- Must be discrete and able to handle information of confidential nature.
- Some direct patient communication is required of this role.
Physical Demands
Lift and carry 25 lbs. frequent sitting/standing, frequent keyboard use, *patient care providers may be required to perform activities specific to their role including kneeling, bending, squatting and performing CPR.
