The Program Coordinator serves as the program quality and compliance coordinator for the Public Pre-K program. This role ensures classrooms operate in alignment with grant, regulatory, and operational requirements while supporting strong enrollment, family engagement, and overall program success. The Program Coordinator coordinates key components of the Pre-K program—including assessments, child screenings, enrollment processes, documentation, and family experience—to ensure high standards are maintained and administrative burden on Center Directors is minimized.
Key Responsibilities
Classroom Support & Quality Improvement
• Support effective implementation of the approved Pre-K curriculum and alignment with the
state’s learning standards.
• Collaborate with teachers to promote strong classroom management practices, consistent
routines, and positive behavior supports.
• Assist with classroom operations, including supporting planning time, breaks, and
coverage to ensure classrooms remain compliant and instructionally focused.
• Coordinate required classroom quality observations in accordance with program
requirements, including scheduling, assessor coordination, preparation, and
documentation.
• Review classroom observation results in partnership with leadership and support the
development, implementation, and monitoring of continuous quality improvement plans.
Child & Family Support Services
• Coordinate required child health and developmental screenings (vision, hearing,
speech/language, general health, and physical development) with contracted providers.
• Maintain accurate documentation of screenings and support families in understanding
results and accessing follow-up services as needed.
• Develop and implement family engagement initiatives, including parenting education
workshops and family events aligned with school readiness goals.
• Support orientation for new Pre-K families to promote a positive program experience.
• Collaborate with internal partners to plan and execute engagement activities that
strengthen family participation and retention.
• Support teachers in preparing parent-teacher conferences, including organizing
assessment information and family communications.
Compliance, Enrollment Support, and Administrative Oversight
• Maintain accurate documentation related to assessments, screenings, family engagement,
and grant-required activities.
• Ensure adherence to Pre-K grant requirements and regulatory guidelines.
• Ensure lesson plans align with grant expectations and program standards.
• Partner with the Government Funding Program Administrator (GFPA) to support reporting
timelines, documentation, and grant-related purchasing.
• Support enrollment efforts, including managing Pre-K enrollment in the center.
management system (CMS), assisting with tours for prospective families, and promoting
program retention.
• Monitor program communications to ensure timely and accurate information is shared with
families and staff.
• Maintain staff and child file compliance in preparation for audits, monitoring visits, and
annual reviews.
• Oversee daily attendance tracking and reporting, as applicable, to ensure accuracy and
compliance.
• Collaborate with the Center Director and leadership team to support successful program
implementation and overall Pre-K performance.
• Other Pre-K Support duties as assigned.
In the state of Minnesota, we currently provide an additional $3.00 per hour premium on all classroom hours worked in addition to the range of pay listed. This premium is funded through the Minnesota Great Start Grant Compensation Support Program.
