Job Title: Assistant Site Director

Status: Exempt, Full time 

Location: Sacramento, CA


Job Summary:

Reporting to the Site Director, the Assistant Site Director serves as the deputy to the Site Director, sharing delegated responsibilities and assuming full responsibility for the site in the Site Director’s absence. Using a “whole person” approach, provide housing assistance and case management of veteran clients. Must be able to work with homeless and disadvantaged veterans and have a well-developed networking capability with local service organizations providing emergency shelter, medical, mental, legal, transportation, employment and other homeless and veterans services. This position also provides general oversight to the Program Support team and management of the client databases developed by Nation’s Finest and the Housing Management Information System (HMIS). 


Job Duties:

  1. Assists the Site Director and other program staff in assessing and meeting the needs of clients, planning appropriate services, and developing new protocols, policies or procedures.
  2. Assists in tracking all expenditures and maintaining a balanced budget for all programs. Account for spending activities at the site level. Assist the agency in keeping costs within the program budgets.
  3. Ensures personnel actions are completed accurately and timely, including time reporting for payroll, advertising open positions, arranging interviews, and post-interview follow-up. Coordinates with HR to ensure that personnel files are accurate and complete. 
  4. Ensures availability of training and maintenance of records for staff certifications and training required for grants and in accordance with established practice. Schedules training as required.
  5. Maintains impound account. Processes requests for funding and writes checks. Supervises and trains staff in disbursement of checks. Maintains appropriate records. Conducts reconciliation of impound account on a monthly basis.
  6. Ensures payments are arranged for service work and documentation is current and complete. Ensures Site Director and program staff provide data for acquisition and maintenance of equipment.
  7. Supervises program support personnel. Schedules coverage and maintenance of all common areas.
  8. Ensures support staff is adequately trained.
  9. Monitors volunteer program. Reviews data on volunteer hours and assistance provided.
  10. Monitors orientation of clients requesting services, to include initial assessments and referrals to internal and external resources. Ensures data is entered into appropriate databases. Manages maintenance of file room, filing systems and records. Collects data as requested for required reports.
  11. Manages transportation expenditures (gas cards and bus passes). Monitors disbursement of gas cards and bus passes. Maintains records and monitors transportation expenditures.
  12. Arranges acquisition of items for personal care of residential clients where applicable. Ensures receipts are properly processed for corporate accounting and that associated files are accurate and complete.
  13. Ensures client fee calculation worksheets and payments are collected, collated and processed for transmittal to accounting department. Ensures billings are submitted, to include monthly Veterans Administration per diem and other programs.
  14. Schedules and coordinates special meetings and events. Arranges for publicity, food, supplies, accommodations, and other needed resources.
  15. Facilitates the achievement of permanent housing for very low-income veterans and their families through advocacy, assessment, planning, communication, education, resource management, and service delivery.
  16. Ensures that clients are provided with in-depth screening and assessments for program suitability and eligibility for both in-house and other-agency programs. As necessary, acts as the client’s advocate to assist in receiving needed services.
  17. Monitors and ensures all funding and agency performance goals and objectives are met or exceeded.
  18. Monitors and ensures detailed and complete participant documentation, to include proof of eligibility determination, comprehensive demographic data, detailed case notes that include results/follow ups of other-agency referrals, and other records as assigned.
  19. Coordinates with other site staff to ensure clients receive quality, fully integrated services.
  20. Maintains a personal resource file of social service agency contacts and landlords in the area for the purposes of client referrals. 
  21. Applies creative outreach techniques to recruit potential clients by distributing promotional materials, and direct networking with targeted individuals and organizations.
  22. Ensures that individual housing counseling is provided to clients to assist them in their search for permanent affordable housing, and/or maintaining current permanent housing.
  23. Ensures that required follow-ups are completed with clients and employers to monitor progress and provide early identification of problems and/or complaints of employed clients.
  24. Attends meetings and conferences, as required.
  25. Performs other duties as assigned by supervisor.

Required Job Competencies:

  1. Ability to work with diverse people, including those with physical and/or mental health disabilities or with substance abuse disorder, conveying a sense of welcome and helpfulness to them
  2. Ability to effectively supervise the office functions and cooperatively work with other staff in a team environment.
  3. Excellent verbal and written communication skills. Written communications should be accurate in spelling, grammar and punctuation.
  4. Ability to work in an occasionally stressful environment, to handle multiple tasks simultaneously, and meet established deadlines.
  5. Ability to prioritize work tasks and efficiently allocate and manage time.
  6. Advanced computer skills, including MS Word, Excel, Outlook, PowerPoint, SharePoint, Teams, Outlook, and database management
  7. Proven ability to develop relationships and collaborative partnerships with representatives in other agencies.
  8. Ability to make referrals to services such as housing, VA services and benefits, educational and employment, financial assistance, and legal advocacy.
  9. Ability to maintain client confidentiality and personal boundaries within Nation’s Finest policies and procedures

Qualifications:

Bachelor's degree in social work, psychology, or related field from an accredited university highly desirable, AA required. 

Two years’ experience in case management or related professional experience in a social service or employment counseling position required. Two years’ management or supervisorial experience required. Must have a minimum of three years’ experience working at an advanced level of office responsibility with a high degree of job independence. 

Strong customer service, communication, and management skills.

Veteran status desirable but not required. 

Must possess reliable transportation and associated insurance.


Offering:

$72,000 to $78,000 per year to start DOE and regional placement. Comprehensive benefits including but not limited to health, dental, vision, retirement with employer matching, vacation, holidays.
