Role Summary
The HR Administration Manager is responsible for ensuring the seamless execution of the HR administration team’s daily activities. This role supports the efficient delivery of HR services, accurate maintenance of records, and adherence to company policies and employment laws. Additionally, the Manager will also guide and support the HR Administration team in their development to align with the organization’s goals and strategies. This involves continuously improving processes to enhance efficiency and effectively managing the team to foster a collaborative and productive work environment.
Key Responsibilities:
Team Leadership
Manage the day-to-day activities of the HR Administration team by providing guidance and support, while ensuring a productive and collaborative work environment.
Strategically plan task allocations, closely monitoring individual performance to ensure the achievement of goals and adherence to deadlines.
Offer coaching, training, and opportunities for the team to acquire new skills and advance in their careers.
Conduct regular check-ins to discuss progress and closely monitor performance goals to guarantee team efficiency.
Foster a team culture where everyone feels inspired to excel, explore new ideas, and take ownership of their responsibilities.
Manage team vacation and absences to maintain operational excellence
HR Administration & Operations
Oversee comprehensive HR administrative processes, including onboarding of new hires, offboarding processes, and contract management.
Ensure the accuracy and up-to-date maintenance of employee records and HR databases.
Maintain personnel files in strict compliance with data protection regulations such as GDPR.
Manage HR documentation efficiently, including drafting and updating contracts, letters, and company policies.
Ensure timely processing of employee lifecycle changes, from promotions to terminations.
Be able to support team absences
Process Improvement:
Continuously review and enhance HR administrative processes to improve efficiency and quality of service.
Implement industry best practices and standard operating procedures to streamline operations.
Support enhancements to HR systems or the rollout of new systems to improve functionality.
Identify and pursue opportunities for automation and digital transformation within HR processes.
Compliance & Governance:
Ensure all HR operations strictly comply with current employment law and company policies.
Uphold the confidentiality and integrity of employee data, ensuring compliance with data protection regulations.
Prepare for and support both internal and external audits to ensure regulatory compliance.
Actively monitor changes in legislation to maintain compliance and mitigate risks.
Stakeholder Support:
Serve as a point of escalation for complex HR administrative inquiries, providing expert guidance.
Offer clear and concise guidance to managers and employees regarding HR processes and policies.
Collaborate closely with HR Business Partners, Local HR, Payroll, Compensation, Benefits and Recruitment teams to ensure cohesive HR service delivery.
Deliver exceptional customer service across the organization, establishing strong working relationships.

Knowledge & Experience:
Proven experience in HR administration or HR operations within a dynamic environment.
Prior experience in leading or supervising a team, demonstrating strong leadership capabilities.
In-depth understanding of HR systems Workday desirable
Knowledge of employment legislation and HR best practices, with experience in a fast-paced, service-oriented setting.
Formal Education/Qualifications:
Bachelor’s degree desirable
Professional HR qualification preferred (or actively working towards)
