As the Truck Invoicing Operations Team Lead, you have a unique opportunity within Finance to work directly with our Sales & Marketing teams, dealers, and large fleet customers, while also gaining valuable leadership experience. Core responsibilities include leading two Truck Invoicing Analysts, aligning truck invoicing operations with various business partners across the network, and collaborating with key stakeholders on business changes, improvement initiatives, and dealer/customer inquiries. This role must be able to work independently and cross-functionally within the areas of Finance, Controlling, Sales, Marketing, Pricing, CAE, Logistics, General Accounting, Tax, and IT to research and resolve operational and reporting issues and to ensure best practices are both within policy and applied appropriately. The position also has a role in internal controls, oversees the development and maintenance of key performance metrics (KPI's), acts as the key user of multiple systems, and is responsible for leading projects within the department.  Position offers a starting salary range of $95,000 - $121,000 USD  

Pay offered dependent on knowledge, skills, and experience

Truck Invoicing Operations Team Lead

  • Support team to ensure timely and accurate creation of New Truck Invoices and Truck Invoice Adjustment (TIA) processing to support cash conversion, with escalations to management and business partners as needed.
  • Collaboration and high communication with Truck Invoicing business partners.
  • Responsibility for managing complex systems and tools and key user of TIA, Invoice Queue Management (IQM), and Invoice Reporting and working in the Mainframe (IMS).
  • Continuously assess procedures for potential implementation of automation to increase end-to-end operational efficiency, quality, and timeliness.
  • Drive strategy and evolution of the truck invoicing team aligning with stakeholders.
  • Support team pool inboxes and daily invoicing tasks when team coverage is necessary and escalations on a regular cadence. 
  • Create a welcoming, engaging, and respectful environment with your colleagues and approach work and team members with curiosity.

Customer & Dealer Help

  • Timely monitoring and response to most complex customer & dealer inquiries.
  • Support and manage high-level customer-facing interactions, escalate issues where needed.
  • Lead process improvements for pain points that require a high level of coordination and collaboration. 

KPI Dashboard Management and Reporting

  • Working with team to ensure KPI’s support department goals.
  • Maintain daily, monthly and ad-hoc reports.
  • KPI Target setting, tracking, monitoring and presenting to management.

Internal Controls

  • Perform evaluation/assessment of Internal Controls regularly and ensure that the necessary controls are documented and tested in accordance with the Company's internal requirements.
  • Work with business partners to identify any internal control issues.
  • Research relevant new finance operational policies and/or procedures and prepare documentation of new and existing processes and policies.

Cross-functional Project Work

  • Manage and validate all Invoicing Queue Management (IQM), Invoice Reporting and Truck Invoicing Adjustment (TIA) system interfaces and enhancements.
  • Exhibit leadership in working cross functionally with business units to implement new business processes because of changes in business or operational requirements.
  • Drive organizational and/or system changes to meet Continuous Improvement objectives and report progress.

Knowledge You Should Bring

  • Bachelor’s level degree
  • 5-7 years of cross functional experience in Accounting, Finance and Sales and Marketing or related experience.
  • Prior experience as supervisor, group or project lead.
  • Must have leadership and continuous improvement mindset, focused on people and processes.
  • Analytical ability identifying root cause, problem solving and data analysis.
  • Ability to work and collaborate effectively both within a team and cross-functionally.
  • Excellent customer service skills and experience working directly with large customers.
  • Ability to manage and drive projects through implementation.
  • Excellent problem solving, communication, and project management skills. 

Exceptional Candidates Might Have

  • Previous Order to Cash experience.
  • Experience working with IMS and cbFC systems in any former role.        
  • Experience with data analytics or business intelligence tools (Tableau, Power BI, Alteryx).
  • An eagerness to collaborate and knowledge share with colleagues.
