Position Summary

The Warranty & Warehouse Manager is responsible for answering the phone, receiving and scheduling Service calls, submitting and monitoring warranty claims. Warehouse operations by receiving and dispatching materials, inventory management, and assisting the fabrication department by tracking thru the accounting system. This role serves as a key operational resource for Procurement, Service, Fabrication, Warehouse, and Project Management teams while maintaining accurate records within company business systems and software.

Essential Duties & Responsibilities

Customer Service

  • Serve as a point of contact for JND’s phone line by professionally communicating with customers, vendors, subcontractors, and team members. Manage phone coordination.
  • Route calls to the appropriate department or individual, maintain message logs as needed, and escalate urgent customer concerns to management.

Service & Warranty Administration

  • Schedule service and warranty-related service calls, dispatch technicians as directed and communicate appointment details and status.
  • Facilitate New Construction to Warranty Turnover.
  • New construction warranty setup and registration.
  • Invoice completed work and/or provide quotes for new work.
  • Manage maintenance agreements for new construction accounts.
  • Verify warranty eligibility and gather required documentation.
  • Coordinate with manufacturers, vendors, customers, and internal teams regarding warranty claims and replacement materials.

Warehouse Inventory Management

  • Receive, inspect, verify, and document incoming deliveries against purchase orders, packing slips, and shipping documentation; accurately record receipts in Kojo. Ensure team members know their deliveries have arrived.
  • Coordinate with Procurement, Project Managers, vendors, and Service personnel to resolve receiving discrepancies and delivery-related issues.
  • Support warehouse operations by maintaining organized receiving, staging, and inventory areas.
  • Maintain accurate inventory records in Kojo, including quantities, stock locations, and item status.
  • Monitor overstock inventory, maintain overstock lists, and identify opportunities to utilize existing stock before purchasing additional materials.
  • Conduct cycle counts and assist with periodic physical inventory audits.
  • Coordinate and document inventory transfers between the warehouse, jobsites, service vehicles, and fabrication areas.
  • Receive, inspect, document, and process material returns from jobsites; determine appropriate disposition, including restocking, overstock assignment, vendor return, or identification as damaged or obsolete.
  • Track returned inventory available for future project and service use in Kojo.
  • Process and maintain Fabrication Sales Receipts in QuickBooks in accordance with company procedures.
  • Perform fabrication audits by job to verify sales receipt accuracy and resolve discrepancies.

Required Qualifications

  • High school diploma or equivalent.
  • Minimum three years of warehouse or service coordination.
  • Experience with construction materials.
  • Working knowledge of inventory control, receiving, jobsite material returns, and warehouse organization.
  • Experience using inventory management software.
  • Ability to operate standard warehouse material handling equipment. Forklift experience a plus.
  • Valid driver license preferred.

Preferred Qualifications

  • Experience using Kojo or other material tracking software.
  • Experience with Quickbooks or other ERP systems.
  • Experience with fabrication material tracking, warehouse stock control, or sales receipt processing.
  • Experience coordinating service calls, dispatching technicians, or managing warranty claims.
  • Familiarity with purchase orders, receiving documentation, packing slips, inventory audits, and job costing.
  • Forklift certification.

Working Conditions

  • Work is performed in an office and warehouse environment with interaction across warehouse, fabrication, service, field, and administrative teams.
  • Role may require standing, walking, lifting, organizing material, using mobile devices, handling calls, and coordinating competing operational priorities.
  • Must follow company safety requirements and maintain a professional standard when communicating with customers, vendors, employees, and trade partners.
