Description
- The front desk of a church is often a weekday caller or visitor’s first experience with the church community. The receptionist will, therefore, need to present him/herself with a neat appearance and keep the workspace orderly.
- Accepts all phone calls and walk-ins as a warm and welcoming representative of the church, answering questions, and directing inquiries appropriately.
- Intakes and processes sick calls for the priest as appropriate.
- Maintains the church calendar at front desk and online.
- Record Mass Intentions requests.
- Applies postage to outgoing mail and prepares it for pickup.
- Update the phone system as required.
- Create and record financial logs. Scanning documentation required.
- Must be able to learn other computer software as required by the Parish.
- Records payments.
- Receives and distributes mail. Receives and signs for specially delivered packages.
- Keeps copy machine supplied with paper and print cartridge.
- Places supply orders.
- Maintains personal contacts, files, and documents.
- Checks mail, e-mail, phone messages, prayer requests, etc., communicating information in a timely manner to appropriate persons.
- Records new members, processes welcome letters for new parishioners, and updates information in the church database.
- Prepares and mails Sacramental Certificates.
- Records Sacraments in appropriate Sacramental Register.
- Contributes to team effort by accomplishing results as needed.
- Other duties may be assigned.
Requirements
- High school diploma or equivalent.
- At least two years’ experience performing receptionist/secretarial work and/or administrative support duties; preferably in a church environment.
- Highly communicative, with excellent verbal and written communication skills; ability to speak Spanish is preferred.
- Efficient and effective organizational and multi-tasking skills.
- Team player, with experience in co-work roles as necessary to support church operations.
- Ability to maintain a strict level of confidentiality.
- Proficient and confident computer user, including MS Office products (Word, Excel). Familiarity with PDS or similar software for scheduling, membership, etc. is a plus.
- Requires an appreciation and respect for the Catholic Church and its teachings. Church employees must conduct themselves in a manner that is consistent with and supportive of the mission and purpose of the Church. Their public behavior must not violate the faith, morals or laws of the Church or the policies of the diocese.
- Ability to pass Diocese of Orlando background check and safe environment training.
