We are looking for a dedicated Administrative Team Assistant to join our team in Gratkorn/Graz for 20 hours per week during a colleague's maternity leave. Your Responsibilities:
As an Administrative Team Assistant, you will play an important role in supporting our teams and ensuring efficient day-to-day operations, for example:
Travel & Administrative Support
Coordinate and manage international travel arrangements, including visa support, invitation letters, travel expense processing, and A1 certificates.
Communicate professionally with internal and external stakeholders, demonstrating the highest level of courtesy, diplomacy, and professionalism.
Provide general administrative support to ensure smooth business operations.
Purchasing & Order Management
Plan, create, process, and track purchase orders.
Work closely with Operations Managers and teams to plan and execute purchase orders using systems such as Ariba and SAP.
Monitor open orders and requisitions throughout the approval and fulfillment process to support effective budget control.
Collaborate with procurement teams and external vendors to identify and secure the most cost-effective solutions.
Required Qualifications:
Business high school graduate or Bachelor's degree in Business Administration, Economics, or a related field.
Strong knowledge of Microsoft Office applications, particularly Word, Excel, and PowerPoint.
High level of reliability, confidentiality, and personal accountability.
Ability to learn quickly, work independently, and take ownership of tasks.
Strong collaboration skills and enthusiasm for working within a global team.
Excellent attention to detail, especially when tracking and managing purchase orders.
Strong communication skills with proficiency in both German and English.
Availability to work 20 hours per week starting in October 2026.

The following qualifications are considered a benefit:
Previous experience as an Administrative Assistant.
Experience managing complex calendars and travel arrangements in a structured and reliable manner while adhering to company policies and traveler needs.
Interest in working within a technical or engineering-focused environment.
Experience working with SAP systems.
The successful candidate may/will be responsible for security related tasks. The assignment may/will be in scope of security certifications, therefore a conscious and reliable way of working is necessary.
