For our team in Krakow we are seeking a Senior Payroll Specialist/ Starszy Specjalista/ Starsza Specjalistka ds. Płac.

The selected candidate will be employed by Critical Mission Services Sp. z o.o., part of Amentum.

Responsibilities

Payroll Processing

  • Manage end-to-end payroll activities for assigned countries/entities, ensuring accurate and timely processing of new hires, employee changes, terminations, variable pay elements, and payroll adjustments.

  • Review and validate payroll inputs to ensure compliance with internal policies, statutory requirements, and payroll controls.

  • Act as a subject matter expert for complex payroll transactions and exception handling.

Payroll Controls, Audits & Compliance

  • Perform comprehensive payroll validations and reconciliations, including Gross-to-Net analysis, payment reviews, variance analysis, and payroll 

  • balancing activities.

  • Review and approve payroll outputs provided by external payroll vendors to ensure accuracy, compliance, and adherence to service level agreements.

  • Identify payroll discrepancies, conduct root cause analysis, and implement corrective actions to mitigate future risks.

Reporting & Analytics

  • Generate, analyse, and maintain payroll reports, metrics, and dashboards to support business, finance, HR, and audit requirements.

  • Prepare management reports, statutory reports, payroll statistics, surveys, and ad hoc data analysis to support business decision-making.

Stakeholder Management & Customer Service

  • Serve as a key point of contact for employees, HR, Finance, Benefits, Compensation, Tax, and external vendors regarding payroll-related matters.

  • Manage complex and escalated payroll inquiries, ensuring timely resolution and a high level of customer satisfaction.

  • Build and maintain strong cross-functional partnerships to support payroll operations and business objectives.

  • Demonstrates a strong customer service mindset, building trusted relationships with clients through responsive communication, empathy, professionalism, and a proactive approach to resolving issues and delivering solutions. Ensures clients feel supported, informed, and valued throughout every interaction.

Payroll Governance & Year-End Activities

  • Support and coordinate month-end, quarter-end, and year-end payroll activities, including wage and tax adjustments, reconciliations, statutory reporting, and audit requirements.

  • Ensure compliance with local legislation, internal controls, and company policies across all payroll processes.

Process Improvement & Documentation

  • Develop, maintain, and continuously improve payroll process documentation, including standard operating procedures, work instructions, and process flows.

  • Drive process improvement initiatives by identifying operational gaps, recommending scalable solutions, and implementing best practices to enhance efficiency and accuracy.

Payroll Expertise & Continuous Improvement

  • Utilize advanced payroll knowledge to resolve complex payroll issues and provide guidance on legislative, procedural, and system-related matters.

  • Monitor payroll-related changes in legislation and business requirements, assessing potential impacts and recommending appropriate actions.

Leadership, Training & Team Support

  • Act as a payroll subject matter expert, providing guidance, mentoring, and training to team members.

  • Support the Payroll Supervisor/Manager in coordinating payroll activities and ensuring achievement of team objectives, service levels, and quality standards.

  • Act as deputy for the Payroll Supervisor/Manager during periods of absence, ensuring continuity of payroll operations and stakeholder support.

Projects & Vendor Management

  • Participate in payroll transformation initiatives, system implementations, process enhancements, and integration projects.

  • Support User Acceptance Testing (UAT), coordinate testing activities, document results, and work closely with vendors and internal stakeholders to ensure successful project delivery.

Requirements

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.

  • Fluency in written and spoken English.

  • Minimum 4 years of payroll experience, preferably supporting complex and/or global payroll operations for organizations with 1,000+ employees.

  • Strong understanding of payroll legislation, compliance requirements, payroll controls, and reconciliation processes.

  • Advanced Microsoft Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, advanced formulas, filtering, sorting, and data analysis.

  • Proficiency in Microsoft Word and PowerPoint.

  • Demonstrated ability to manage multiple priorities, resolve complex payroll issues, and work effectively with cross-functional stakeholders.

  • Experience working with outsourced payroll providers and payroll systems in a multinational environment.

  • Strong analytical, problem-solving, communication, and customer service skills.
