Job Description

The Database Manager is responsible for the administration, maintenance, and optimization of the Development and Alumni Engagement (DAE) constituent database, Blackbaud Raiser’s Edge NXT. This position serves as a subject matter expert for advancement data and supports the effective use of constituent information across fundraising and alumni engagement activities.

The Database Manager ensures the accuracy, integrity, consistency, and accessibility of alumni, donor, and prospect data. The position manages database processes including queries, imports, exports, record maintenance, data cleanup, segmentation, and reporting. The Database Manager also partners with DAE colleagues, Information Technology, and external vendors to support system integrations, process improvements, and effective use of advancement technology.

Essential Duties and Responsibilities

Database Administration and Data Integrity

  • Serve as the primary administrator and subject matter expert for Blackbaud Raiser’s Edge NXT.
  • Maintain the accuracy, consistency, and integrity of alumni, donor, prospect, and constituent records.
  • Develop and maintain standards and procedures for data entry, maintenance, cleanup, and quality assurance.
  • Manage constituent record updates, duplicate identification and merging, mass updates, imports, and exports.
  • Perform routine data audits and identify opportunities to improve data quality and completeness.
  • Maintain appropriate documentation of database processes, standards, and procedures.
  • Support compliance with applicable University policies and data privacy requirements.

Queries, Reporting, and Data Support

  • Develop and maintain complex queries, exports, reports, and constituent lists to support fundraising, alumni engagement, donor relations, events, and other DAE activities.
  • Support audience segmentation and data requests for fundraising appeals, campaigns, events, and alumni engagement initiatives.
  • Partner with DAE colleagues to understand reporting and data needs and translate business requirements into effective database solutions.
  • Support recurring and ad hoc reporting and assist with identifying trends and opportunities within advancement data.
  • Monitor data quality and completeness and recommend improvements to reporting and data-management practices.

Systems and Integrations

  • Manage and monitor the transfer of data between Raiser’s Edge NXT and other advancement platforms and systems.
  • Partner with Information Technology, vendors, and DAE stakeholders to troubleshoot integration issues and improve data flow between systems.
  • Assist with testing, implementation, and ongoing support of database enhancements, integrations, and new advancement technology.
  • Identify opportunities to streamline processes through system functionality, automation, and improved workflows.
  • Support the evaluation and implementation of technology solutions that improve fundraising and alumni engagement operations.

Advancement Operations and User Support

  • Support Development and Alumni Engagement teams in the effective use of Raiser’s Edge NXT and related systems.
  • Provide guidance and training to users on database processes, data standards, queries, reporting, and system functionality.
  • Support fundraising and alumni engagement initiatives through accurate data, segmentation, reporting, and constituent information.
  • Troubleshoot database issues and coordinate with appropriate internal or external partners to resolve technical or data-related concerns.
  • Promote consistent database practices and effective use of advancement systems across DAE.

Process Improvement and Collaboration

  • Identify and implement opportunities to improve database processes, workflows, documentation, and data quality.
  • Partner with Fundraising, Donor Relations, Alumni Engagement, Corporate and Foundation Relations, and other University stakeholders on advancement data needs.
  • Participate in planning for database enhancements and the continued development of DAE systems and technology.
  • Stay current on Raiser’s Edge NXT functionality, advancement-services practices, and emerging database and reporting capabilities.
  • Perform other related duties as assigned.

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • Five or more years of progressively responsible experience in database administration, advancement services, fundraising technology, CRM administration, or a related field.
  • Demonstrated experience administering Blackbaud Raiser’s Edge NXT or a comparable CRM/database platform.
  • Experience with complex queries, imports, exports, data cleanup, record management, and reporting.
  • Demonstrated ability to maintain a high degree of accuracy and attention to detail when working with large datasets.
  • Experience supporting database integrations and data transfers between systems.
  • Strong analytical, organizational, problem-solving, and time-management skills.
  • Ability to manage multiple priorities and meet established deadlines.
  • Strong written and verbal communication skills.
  • Ability to collaborate effectively with technical and non-technical stakeholders.

Preferred Qualifications

  • Advanced experience with Blackbaud Raiser’s Edge NXT.
  • Experience working in higher education, advancement, fundraising, alumni relations, or a nonprofit environment.
  • Experience with business intelligence and reporting tools such as Power BI, Tableau, or similar platforms.
  • Experience with advancement platforms such as GiveCampus, PeopleGrove, Mongoose, or similar systems.
  • Familiarity with APIs, system integrations, data warehouses, or data integration tools.
  • Advanced proficiency with Microsoft Excel.
  • Experience developing database procedures, documentation, training, and data-governance standards.

  • Ability to translate business needs into effective database processes, queries, reports, and solutions.
  • Strong analytical skills and ability to identify data-quality issues and recommend solutions.

Preferred Qualifications

  • Advanced experience with Blackbaud Raiser’s Edge NXT.
  • Experience in higher education, advancement, fundraising, alumni relations, or a nonprofit environment.
  • Experience with reporting and visualization tools such as Power BI, Tableau, or similar platforms.
  • Familiarity with advancement platforms, system integrations, APIs, data warehouses, or related data tools.
  • Advanced proficiency with Microsoft Excel.

Compensation Range

In compliance with the New Jersey Wage Transparency Act, the annual base salary range for this position is $98,000.00 - $133,933.33. This range represents the University’s good faith estimate of possible compensation at the time of posting. Stevens Institute of Technology determines compensation based on factors including the position’s scope and responsibilities, the candidate’s experience, education, skills, internal equity, market data, and organizational considerations. The final salary will be set considering departmental budget, qualifications, and relevant credentials. This pay range represents base pay only and excludes additional forms of compensation, such as incentives, stipends, or other applicable pay components.
